Farm Journal is seeking an experienced Meeting & Events Planner that will carry a significant role in the execution of our trade shows and conferences, ensuring community engagement, impactful buyer-seller interactions, and excellence in client experience.
As meeting & events planner, you will be responsible for project managing multiple conferences & trade shows at one time, collaborating with cross functional teams regarding all show planning, show objectives, and demonstrating ROI. The environment is fast-paced and dynamic.
Essential Duties and Responsibilities
These duties include, but are not limited to, the following. Other duties may be assigned.
- Strong trade show and project management skills, ability to manage multiple tasks simultaneously, meet deadlines, and handle unexpected challenges that may arise during trade show planning.
- Create sales materials for National Account Reps to support selling efforts of conferences and expos, as well as tracking of sold sponsorships/booth space and coordinating orders
- Order processing in CRM system for all event sponsorships
- Assist sponsors/exhibitors to ensure a simple and flawless event experience
- Assist with event planning logistics including hotel, F&B, AV requirements, registration, managing outside vendors, assisting sponsors and pre and post event evaluations
- Ability to work with external vendors daily regarding multiple projects at one time.
- Onsite management for trade shows and special events.
- Assist with registration site creation and maintenance as well as various webpage updates
- Work with speakers, vendors and other talent to prepare for event
- Help in efforts to publicize event and coordinating with marketing team to ensure promotions are on task such as email/eblasts, print ads, direct mail, internet ads and television and radio scripts
- Proficiency with Excel, PowerPoint, Word, website CMS platforms, social media marketing - Adobe graphic design program experience a plus
- Ability to prioritize workload, work independently and complete tasks under time pressure
- Ensure all budgets are adhered to for each event and timelines are met
- Other duties assigned by the Director of Events & Expos
Skills/Professional Experience
These qualifications include, but are not limited to, the following:
- Bachelor’s degree – ideally focused, but not required, in a business discipline such as marketing, communications, advertising, public relations, event management, etc.
- 2-4 years experience in a similar marketing or event related position working B2B trade shows and conferences
- Ability to complete multiple projects and tasks on a regular basis
- Must be able to work within a team and excel in a fast-paced environment
- Ability to work well with staff across the company, outside vendors and most importantly, with farmers and ranchers
- Ability and willingness to travel 30-40%
