Large entertainment firm is seeking an Executive/Personal Assistant for the offices in NYC. The position is 5 days in office with excellent benefits, bonus, perks and comp.
Must have 5 plus years of experience as an Executive/Personal Assistant for a UHNW CEO.
Who are we hiring?
The Executive Administrative Assistant will report directly into the Chief of Staff and act as a key member of the support team, prioritizing the business needs. They must also have demonstrable experience in calendar management and the capacity to stay one step ahead, anticipating needs, challenges and delivering solutions in a fast-paced environment. Flexibility, dependability, discretion, and attention to detail are critical attributes to success in this role. Additionally, potential candidates must have proven skills in building effective working relationships and the ability to interact with top leaders in business, entertainment, sports, and politics.
What will you do?
Work collaboratively with the other Executive Assistants to ensure all team members have the necessary information when called upon by the Chief of Staff and executives.
Manage meetings including, in-person, and off-site, including but not limited to conference calls, video conferences, etc.
Ability to manage highly confidential, and proprietary information with discretion and the utmost level of confidentiality.
Work under tight deadlines, remain aware of shifting priorities, anticipate last minute changes, and make necessary adjustments; always having a plan B in place.
Coordinate logistics for meetings, events, and personal projects; help locate and obtain information & resources; anticipate and prepare materials as needed.
Prioritize functions and appointments, ensuring that meetings, presentations, and other duties of the executives are carried out seamlessly.
Work as part of a high touch team by fostering a high level of communication, collaboration, and cooperation.
What do you need to succeed?
Candidates must have hands on experience anticipating and expediting business and personal projects in support of a President or CEO in a complex organization.
Excellent knowledge, with proven experience with Microsoft Office applications, specifically Outlook.
Excellent ability to operate complex phone systems such as CISCO.
Experience serving as a key liaison, accessible by phone or email after office hours and on weekends, as needed.
Strong oral and written communication skills, ability to interact with all levels of management.
Proven logical skills, well organized and detail oriented with the ability to multi-task and have a proven track record as a strategic thinker capable of foreseeing impacts of simultaneous projects.
Must be energetic, positive, stress-tolerant, outgoing, and resourceful.
Ability to work in a fast-paced environment.
Ability to maintain highest degree of confidentiality and diplomacy.
Must be flexible to work overtime on short notice.
