Position Summary

A leading commercial construction company is seeking a dynamic, self-motivated, front desk administrator to join our growing team in Irving, Texas. In this role, you will provide general office support with a variety of clerical activities and related tasks. You are the face of the company and greet all new visitors that enter the building., You will be answering incoming calls and directing to appropriate associates, mail distribution, flow of correspondence, requisition of supplies, assisting job applicants, as well as additional clerical and administrative support duties.

Essential Duties And Responsibilities

  • Answers phones, takes messages.
  • Provides general customer service to all callers and visitors.
  • Prepares outgoing mail and FedEx packages and receive shipments.
  • Sorts mail and packages daily, delivers correspondence.
  • Working within budgetary requirements, orders office supplies, departmental materials, and employee materials; receives, stocks, organizes, and distributes upon delivery.
  • Assists with company bulk mailing.
  • Maintains a neat and tidy reception and break room area and professional, comfortable general front office atmosphere.
  • Performs other clerical duties such as filing, photocopying, and collating.
  • Assists in coordinating new hire onboarding.
  • Monitor temperature check in at front desk kiosk.
  • Place orders for coffee, office supplies, PPE, NHO t-shirts, and snacks.
  • Maintain stock of all items listed above.
  • Rinse out the coffee machine in The Grove daily and deep clean once a week.
  • Restock water in both Tidwell and CEC University rooms daily.
  • Restock snacks in the CEC University daily.
  • Restock copy paper in the 1st floor copy room.
  • Other duties as assigned by your supervisor.

  • Performs other related duties as assigned to ensure efficient and effective completion of tasks and projects.

Education And Experience

  • High school diploma or equivalent. (Preferred)
  • Minimum of one years’ experience in a reception/customer service and concurrent administrative role.

Skills, Knowledge And Abilities

  • Bilingual (Spanish speaking).
  • Computer knowledge and efficiency, including Microsoft Outlook, Word and Excel.
  • Ability to interact with internal and external customers and project positive energy.
  • Excellent communication skills, both verbal and email/written with good phone etiquette
  • High level of confidentiality, maturity, and discretion.
  • Professional personal presentation.
  • Must be able to meet required deadlines.
  • Attention to detail.
  • Must be able to prioritize and work on multiple tasks in a fast paced, schedule driven environment.
  • Utilizes judgment to interact with respond appropriately to situations, using calmness, conciliation, assertiveness, and professionalism.
  • Extremely punctual and dependable, ability to work 8 am-5 pm Monday-Friday. Reliable attendance. This is not a remote position.
  • Ability to type at least 50 WPM with accuracy.
  • Possess integrity and trustworthiness.
