Digital Asset Library Technician

To provide surge support to the digital asset management team by assisting with the organization,
cataloging, and metadata tagging of over 2,000 digital photo assets. The technician will ensure that all
assets are accurately uploaded, tagged, and catalogued with the necessary metadata, captions, photo
credit and consent documentation. This will facilitate easy access and searchability within the digital
asset library.
2. Scope of Work
The technician will be responsible for the following tasks:
- Uploading Digital Assets: Import and upload over 2,000 photos to the digital asset management
system, ensuring all files are stored in the correct formats and locations within the system.
- Cataloging and Metadata Tagging: Systematically tag each photo with relevant metadata,
including but not limited to file type, date, location, photographer, event name, keywords, and
any other required fields to enhance searchability.
- Caption Coordination and Review: Collaborate with caption writers and editors to ensure all
captions are accurate, complete, and aligned with organizational standards. Upload captions into
the asset management system, cross-referencing them with the correct photos.
- Consent Documentation Management: Verify that each photo has an associated consent form
(if required) and ensure that these forms are appropriately linked to the corresponding files.
Maintain an organized log of all consent forms and their associated photos.
- Project Tracking and Reporting: Maintain a project tracking document to monitor the progress
of the photo cataloging and tagging effort. Provide weekly status reports to the project manager,
highlighting progress, issues, and any additional resource needs.
- Quality Assurance (QA) and Verification: Conduct periodic QA reviews to ensure all assets are
accurately tagged and catalogued according to project specifications. Resolve any discrepancies
in tagging or documentation linkage.
- Database Organization and Maintenance: Assist in maintaining and organizing the digital asset
database structure, optimizing folder structures, and identifying opportunities for streamlining
access and usability.
3. Deliverables
- Completed Upload and Cataloguing of All Photos: All 2,000+ photos uploaded and catalogued
with proper metadata, captions, and consent documentation.
- Tracking and Status Reports: Weekly project status reports to keep the project manager
informed of progress, any issues encountered, and steps taken to resolve them.
- Comprehensive Metadata and Tagging Logs: A final log detailing all metadata, captions, and
consent documentation for each digital asset.
4. Duration of Assignment
The anticipated project duration is approximately 3 months from the date of assignment, with the
possibility of extension based on project needs and progress.
5. Required Skills and Qualifications
- Experience with digital asset management systems and metadata tagging processes, preferably
Resource Space by Montala (but not a requirement).
- Familiarity with cataloging standards and database organization techniques
- Excellent attention to detail and organizational skills
- strong communication skills to coordinate with caption writers, editors, and production
managers
- Knowledge of data privacy and consent management in digital media handling
