Primary Services is seeking an Entry-level Administrative Assistant to support our client s fast-growing administrative and bookkeeping team in Midtown, Houston. This position is ideal for someone who brings a service-oriented mindset and a passion for organization and communication. You ll work closely with bookkeepers and office staff to ensure smooth operations, assist in preparing for MUD meetings, and maintain up-to-date records.

Responsibilities

  • File and organize paper documents and records with high attention to detail.
  • Process and mail checks in a timely and accurate manner.
  • Assist bookkeepers in preparing materials for monthly MUD meetings.
  • Serve as a backup to the receptionist, handling phone calls and visitor inquiries as needed.
  • Perform data entry and maintain databases with up-to-date information.
  • Conduct basic research on outstanding checks and invoices, communicating with vendors as needed.
  • Communicate professionally with MUD directors, consultants, and other stakeholders on behalf of bookkeepers.
  • Adapt to various tasks and support multiple projects simultaneously in a multi-tasking environment.

Qualifications

  • 1+ year of light administrative experience; customer service experience preferred.
  • Strong proficiency in Microsoft Office, particularly Excel and Word.
  • Demonstrated ability to stay organized, punctual, and adaptable in a changing environment.
  • Proven multitasking skills with a focus on accuracy and efficiency.
  • Ability to communicate effectively with a diverse range of professionals.
  • Excellent tenure in past roles, ideally a minimum of 3 years with a strong record of reliability.
