This role is essential to creating a positive first impression for visitors and to supporting the Executive Team, Marketing, and HR departments with key administrative tasks.
Schedule: Monday - Friday 8am - 5pm Off: Saturday & Sunday

This role performs general administrative duties to support the Executive Team, Marketing and the Human Resources Departments.

Primary Purpose
As the first point of contact for our company, the Executive Administrative Receptionist will provide a professional and welcoming experience to all visitors while seamlessly managing administrative tasks for senior executives, ensuring smooth office operations and efficient communication flow. This role performs general administrative duties to support the Executive Team, Marketing and the Human Resources Departments.
Essential Functions
- Greet and direct visitors with a positive and courteous demeanor, identifying their purpose and routing them appropriately.
- Answer and manage incoming phone calls, effectively screening and directing calls to the relevant parties when needed.
- Maintain a clean and organized reception area, including visitor log and office supplies.
- Coordinate Conference room scheduling.
- Set up conference room, café and other spaces for employee or customer events.
- Open and securely close the main entrance to the facility.
- Sort and distribute incoming mail.
- Maintain the receptionists’ desk, keep computer area and lobby area clean & organized.
- Monitor incoming and outgoing shipping carriers, excluding outgoing UPS paperwork.
- Solicit and place food orders for important meetings, employee or customer events. Provide catering for meetings, such as tea, coffee, and food.
- Responsible for managing travel arrangements, including booking hotel accommodations, for executives and traveling parties often handling complex itineraries and special requests while maintaining a professional and polished image at the front desk.
- Perform general clerical duties for assigned departments and others as needed.
- Learns and utilizes all office policies and procedures.
- Complies with all safety and security regulations and procedures.
- Other related duties as assigned.
- Knowledge of phone etiquette.
- Exceptional customer service skills.
- Bilingual English/Spanish strongly preferred.
- Positive and courteous demeanor at all times.
- Maintain confidentiality and filter of communications is critical to maintaining trust and effective execution of strategies.
- Ability to work in a team environment.
- Excellent language and communication skills.
- Operational knowledge of general office equipment (telephone systems, photocopiers, email/Zoom etc.)
- Knowledge of Windows-based computer applications.
- Ability to multi-task effectively.
- Effective time-management skills.
- Ability to perform the primary functions of this position with or without reasonable accommodation.
- High School graduate or equivalent.
- One year experience as a receptionist.
