The 11th Street Bridge Park (a project of the Ward 8 non-profit Building Bridges Across the River) is looking for an Administrative & Engagement Assistant to support the administrative needs of the Bridge Park team and amplify outreach to the Ward 7, 8 and larger Washington D.C. community. This proactive and results-oriented individual will play a vital role in managing internal administrative operations while effectively communicating the organization’s activities related to equitable development strategies, programming, and outreach efforts. This position routinely participates in evening and weekend programming. This position reports to the Deputy Director of the 11th Street Bridge Park.
The Administrative & Engagement Assistant will impact our organization by improving operational efficiency, supporting programming, enhancing community outreach, and fostering effective communication, thereby strengthening our team’s capacity to fulfill our mission to build a more equitable city.
Principal Responsibilities:
· Submit department check requests and keep track of monthly department expenditures including regular reconciliation with Finance Department
· Reconcile monthly credit card reports
· Database management including e-newsletter list
· Support Bridge Park team with regular programming, events, and meetings
· Coordinate meeting / calendar and travel arrangements for Senior Vice President
· Document meeting notes and summarize discussions to create minutes
· Order Departmental supplies
· Handle incoming communications and respond to project-specific emails and voicemails
· Communicate the organization’s equitable development strategies, programming, and initiatives to stakeholders
· Identify engagement opportunities and spearhead outreach initiatives and tabling activities
· Work with the team to build relationships & coordinate volunteers
Additional Responsibilities:
· Office Management: Oversee daily office operations, including filing, supply management, and handling correspondence (emails, letters, and phone calls). Manage emails, letters, packages, phone calls, letters of support and other forms of correspondence
· Calendar / travel Coordination for Senior Vice President: Aid in the management of the Vice President’s calendar, meeting schedule, travel plans, and appointments and other Bridge Park staff when appropriate.
· Engagement: Lead regular tours of the 11th Street Bridge Park for visitors and stakeholders. Deliver presentations to community groups, business owners, funders, and government official
· Onboarding Support: Facilitate onboarding processes for new employees.
· Team Activities: Support departments in organizing team activities and training sessions.
· Additional duties as assigned by Deputy Director & Vice President
Qualifications & Requirements:
· Education & Experience: Bachelor’s degree and/or 3+ years of relevant work experience, preferably in an administrative role.
· Technical Skills: Proficient in Microsoft Excel and Office Suite.
· Self-Motivation & Organization: Self-motivated with exceptional organizational skills, able to set and achieve short- and long-term goals while managing multiple deadlines.
· Project Management: Capable of independently developing and advancing projects with a strong attention to detail.
· Communication Skills: Strong written and verbal communication abilities, effective in engaging diverse stakeholders.
· Problem-Solving: Demonstrated critical thinking and problem-solving skills.
· Professionalism: Sound judgment and integrity in handling confidential information; conducts oneself in a highly professional manner.
· Team Collaboration: Positive team player with a high level of energy and commitment to the mission, thriving in a fast-paced, collaborative environment.
· Flexibility: Willingness to occasionally work evenings and weekends as needed.
Salary & Benefits: This is a full-time position with a starting salary of $56,000 and opportunities for advancement. Benefits include Medical, Dental, Vision, PTO and ability to participate in the 401(K) Retirement Plan. Building Bridges Across the River is an equal opportunity employer.
