Key Responsibilities:
- Provide top-tier administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Manage the day-to-day office operations, including restocking office supplies, food, and beverages, and ensuring a clean, organized workspace by managing the cleaning schedule and processes.
- Serve as the primary point of contact for office maintenance, coordinating with vendors and ensuring the office is operating smoothly.
- Screen phone calls, respond to general inquiries, and handle confidential matters with professionalism and integrity.
- Assist with Human Resources tasks such as onboarding and offboarding employees, maintaining employee files, and ensuring accurate record-keeping.
- Support the Human Resources department with employee file management and record maintenance, ensuring compliance with company policies and legal requirements.
- Provide world-class service in all client and vendor interactions, ensuring the highest level of professionalism.
- Support project coordination and ensure smooth execution of office management processes.
- Develop engaging presentations and employee/client materials using a variety of multimedia platforms to effectively communicate key information
- Strong organizational and multitasking skills with attention to detail.
- Experience in office management, administrative support, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency with Google Workspace and related applications
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication skills, both written and verbal.
- Ability to work independently and anticipate the needs of executives without direct supervision.
- Flexibility to work both remotely and in the office as needed.
- Competitive hourly rate starting at $21.00.
