Position Overview
The DAF and Grantmaking Coordinator plays a critical role in supporting MSC’s equitable grantmaking and Donor Advised Fund (DAF) program. This new position is responsible for coordinating the intake and administration of contributions, managing compliance with grantmaking policies, ensuring timely and accurate communication with internal and external stakeholders, and providing logistical support for the entire grantmaking cycle, from scheduling reviews and securing approvals to monitoring grantee reporting and disbursement schedules. The DAF and Grantmaking Coordinator will help strengthen MSC’s mission by ensuring effective and ethical fund management, facilitating philanthropic services, and maintaining accurate data and reporting processes.
This role collaborates with the Advancement, Operations, and Finance teams to ensure smooth execution of grantmaking and fund administration processes. It also supports DAF donors and grantees by providing technical and relational assistance and ensuring compliance with MSC’s ethical standards in philanthropy. The DAF and Grantmaking Coordinator reports to the Senior Director of Development with a dotted line to the Director of Grantmaking and Director of Community Fund Design.

Core Responsibilities
The DAF and Grantmaking Coordinator is responsible for ensuring the seamless execution of MSC’s equitable grantmaking and Donor Advised Fund (DAF) programs. The Coordinator works closely with internal teams, including operations and finance, to meet reporting requirements and support DAF Advisors and grantees through technical assistance and relational engagement. This role requires a highly organized individual with strong communication skills, the ability to manage complex workflows, and a commitment to ethical and equitable grantmaking practices. The ideal candidate will be comfortable working across departments, with a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment.

This role does not supervise other employees.
Expected Hours of Work
Standard days and hours of work are Monday through Friday, 9am to 5pm. Daily schedule is flexible within the proximity of this time frame both EST and PST and will be decided in consultation with the supervisor.
Travel

DAF Program Administration (30%):
- Coordinate the intake of contributions and activation of administrative and charitable allocations.
- Prepare monthly and periodic reports for leadership regarding DAF contributions, disbursements, allocations, and other relevant activities.
- Maintain accurate records of DAF Advisors in the CRM (Netsuite) and ensure all relevant information is up-to-date.
- Liaise with the DAF Administrator to ensure accurate tracking of income and allocation of charitable disbursements, while maintaining and refining DAF workflows and communication templates to ensure consistency and effectiveness for all DAF-related tasks.
- Follow strict donor confidentiality and maintain security of all donor records observing MSC’s ethical gift acceptance policy as well as gift-related policies and procedures as defined by the Association of Fundraising Professionals.
- Ensure compliance with MSC’s DAF policy and procedures, including meeting annual DAF payout requirements and processing and documenting expenditure responsibility and equivalence determinations.
- Activate protocols, procedures, and processes for traditional and complex DAF grantmaking and impact investing, including processing DAF Advisor recommendations, monitoring incoming grantee applications, completing relevant forms, securing approvals, preparing agreements, and managing disbursements.
- Monitor grantee reporting schedules, ensuring notifications are sent, materials are received, and compliance with reporting requirements.
- Provide relational and technical support to grantees using Foundant, DFX, or other grant management portals, addressing inquiries and troubleshooting issues as needed.
- Coordinate with internal stakeholders, including operations and finance, to ensure grant agreement deliverables are met and grantee reporting requirements are fulfilled.
- Ensure protocols, procedures, and processes for DAF grantmaking are recorded, updated, and appropriately filed for easy internal and external access.
- Support compliance with MSC’s ethical grantmaking practices by ensuring all grant-related documentation is accurate and aligned with internal policies.
- Provide logistical support for Philanthropic Services grantmaking and collaborative fund programs, including scheduling meetings, compiling materials for review, preparing rubrics and forms, recording meeting notes, and documenting funding recommendations.
- Document all phases and activities of the grantmaking cycle in Foundant and Netsuite, ensuring accurate and timely data entry and maintenance.
- Draft grant awards by securing appropriate documentation and approvals, and following organizational procedures for the timely disbursement of funds.
- Monitor grantee reporting schedules, ensuring notifications are sent, materials are received, and compliance with reporting requirements.
- As needed, draft grant applications in the grantmaking portal, assist in the development of funding announcements and outreach strategies, disseminate opportunities and respond to inquiries. Partner with external consultants/partners to translate materials, and arrange interpretation services as needed.
- Monitor incoming applications and provide technical assistance to applicants, ensuring equitable access to the application process.
- Coordinate with internal stakeholders, including operations and finance, to ensure grant agreement’s are within compliance, award deliverables are met, and grantee reporting requirements are fulfilled.
- Support compliance with MSC’s ethical grantmaking practices by ensuring all grant-related documentation is accurate and aligned with internal policies.
- Assist in the preparation and submission of periodic program materials and overviews for internal and external audiences, ensuring clear communication of grantmaking and collaborative fund activities.
- Assist with outreach to disadvantaged, historically marginalized, underserved, and overburdened groups, ensuring inclusive access to funding opportunities.
- Assist with the maintenance of listservs, dissemination of communications messages, providing information and referrals, and offering technical assistance to grantees as needed.
- Coordinate the internal team around relevant report deliverables across institutional grants specific to MSC’s regranting and collaborative fund programs, including but not limited to drafting report narratives for input and review.

Essential Knowledge, Skills And Experience
- Dedication to MSC’s mission of advancing social justice and community-centered philanthropy.
- Relevant work experience in grantmaking, donor-advised fund (DAF) administration, philanthropy, or fund management preferred, with 3-5 years in a professional setting, including experience in nonprofit or financial services.
- Lived or work experience supporting disadvantaged, historically marginalized, underserved, and overburdened groups, ensuring inclusive access to funding opportunities.
- Experience coordinating cross-departmental projects, managing compliance processes, and handling financial transactions or charitable allocations would also be highly preferred.
- Knowledge of grantmaking best practices, with a commitment to ethical and equitable grantmaking processes and fund distribution would be valuable.
- Strong organizational and time management skills, capable of handling multiple priorities and meeting time-sensitive requests in a fast-paced environment.
- Analytical and project management skills, capable of managing complex workflows, tracking details accurately, and keeping stakeholders informed.
- Excellent verbal and written communication skills, including grammar, proofreading, and professional presentation.
- Strong interpersonal and communication skills, with the ability to collaborate effectively across departments and with colleagues at all levels, and work with diverse internal and external stakeholders.
- Self-motivated, with a strong work ethic and the ability to take initiative, anticipate needs, and exercise independent judgment.
- Proficiency and familiarity in Google Workspace and comfort working with software tools such as DocuSign, Netsuite, Slack, and Zoom; experience with Foundant preferred.
- Comfortable with handling confidential information and maintaining the highest standards of discretion.
- Strong problem-solving skills and a calm, solution-oriented approach to challenges.
- Ability to engage with diverse stakeholders, particularly in the context of philanthropy and charitable giving.

Compensation And Benefits
- Full time position Salaried Exempt position with annual gross pay of $70,000-75,000.
- MSC’s 100% FTE benefits package includes:
- 20 days vacation leave per year.
- 13 standard holidays, and 2 personal days per year (your personal days are designated as your birthday and hire date anniversary, and should be taken on these dates).
