Job Summary

The Operating Room Scheduler is responsible for the efficient and effective scheduling of surgical procedures and related activities in the operating room. This position ensures optimal utilization of OR resources while coordinating with surgeons, anesthesiologists, nurses, and other healthcare professionals. The OR Scheduler plays a key role in maintaining a smooth workflow, minimizing delays, and ensuring patient safety and satisfaction.

Frye Regional Medical Center, located in the beautiful foothills of North Carolina is a 355-bed acute care hospital, 81-bed Behavioral Health facility and more than 70 primary and specialty care providers.

Essential Functions

  • Scheduling and Coordination: Schedule surgical procedures based on surgeon availability, patient needs, and operating room capacity. Coordinate with surgeons, anesthesiologists, nursing staff, and other departments to ensure all necessary resources and personnel are available. Adjust schedules as needed to accommodate emergencies, cancellations, and other changes.
  • Communication:Serve as the primary point of contact for scheduling inquiries from surgeons, patients, and hospital staff. Provide clear and timely communication regarding schedule changes, delays, and other important information.
  • Documentation, Data Entry, and Record-Keeping: Maintain accurate and up-to-date scheduling records in the hospital’s electronic health record (EHR) system. Ensure all necessary preoperative and postoperative documentation is completed and filed appropriately. Perform data entry tasks to update patient information, surgical schedules, and other relevant data in the EHR and scheduling systems.
  • Patient Coordination: Communicate with patients regarding their surgical schedules, preoperative instructions, and postoperative follow-up appointments. Address patient concerns and provide information to ensure a smooth surgical experience.
  • Problem-Solving:Identify and resolve scheduling conflicts, resource shortages, and other issues that may impact the OR schedule. Develop and implement solutions to improve scheduling efficiency and OR utilization.
  • Compliance and Quality Assurance: Ensure all scheduling practices comply with hospital policies, regulatory requirements, and best practices. Participate in quality improvement initiatives to enhance scheduling processes and patient outcomes.
  • Other Duties as Assigned: Assist with additional administrative tasks and special projects as needed. Support the OR team with various duties to ensure the overall efficiency and effectiveness of the department.

Minimum Education

High school diploma or equivalent required

Associate’s or Bachelor’s degree in healthcare administration, nursing, surgical technologist, or a related field preferred.

Required Skills

Excellent organizational and time-management skills.

Strong communication and interpersonal abilities.

Proficiency in using EHR systems and scheduling software.

Ability to work under pressure and handle multiple tasks simultaneously.

Attention to detail and accuracy

Minimum Work Experience

Minimum of 2 years of experience in a healthcare setting, preferably in surgical scheduling or a related role. Familiarity with medical terminology and surgical procedures.
