Amazon.com is seeking an exceptionally bright, multitasking and self-motivated Office Manager to work in our fast-paced e-commerce cross-category Studio. This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. The Office Manager is responsible for managing multiple, competing responsibilities in an aggressively growing environment. Specifically, the Office Manager role will encompass providing day-to-day support to Amazon employees and partnering with managers to accomplish business objectives. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. Additionally, the Office Manager will be someone who can work autonomously, with little or no direction, and be willing to help with a variety of projects. Responsibilities for this position include the ability to play a leadership role, to think and plan ahead, delegate responsibilities appropriately, and manage time effectively.
Key job responsibilities
Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $90,000/year in our lowest geographic market up to $145,500/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company. Dependent on the position offered, equity, sign-on payments, and other forms of compensation may be provided as part of a total compensation package, in addition to a full range of medical, financial, and/or other benefits. Key job responsibilities
- Design and implement studio policies and procedures
- Manage construction projects from conception to completion
- Coordinate new hires' on-boarding office space, equipment and access badges. Assist visiting employees with work space.
- Coordinate and schedule any group meetings including planning and facilitating any office events
- Managing to budget, resources and any special requirements
- Manage room bookings and video conference facilities on site.
- Coordinate with Global Real Estate and Facilities team on janitorial, security, electrical, plumbing, HVAC, garbage removal, elevator maintenance, fire protection, snow removal and general building maintenance.
- Ensure studio policies and procedures are being adhered to such as conference room management, bike room and locker waiver sign off.
- Monitor, maintain and purchase office supplies inventory.
- Oversee office services such as printers, kitchen upkeep and mail room.
- Work collaboratively with Business Partners to host VIPs tours.
- Leverage studio industry best practices to maintain a fashionable and efficient workspace.
- Maintain a safe and secure working environment.
- Manage on-site safety and emergency response programs (e.g., fire drills) and related communications and meetings.
- Have fun at work and help others do the same.
- Bachelor’s Degree
- 3-5 years office management or related experience
- Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint
- Financial deep dive skills
- Self starter with excellent organization skills and detail oriented
- Strong business acumen; can make sound judgment calls under conflicting situations
- Flexible and accommodating to last minute additions and changes to schedules
- Ability to work in a highly ambiguous environment
- People management experience
- Experience negotiating vendor contracts (janitorial, maintenance, and temp agency)
