- Coordinates and performs a wide variety of administrative duties to support transition, education, financial management and career service functions in the Education and Career Program.
- Assists in the development of internal policies, procedures and work methods affecting administrative management operations. Ensures compliance with managers and supervisors by reviewing and revising studies, reports and correspondence for accuracy and format.
- Collects, compiles and organizes information and data to meet administrative requirements. Prepares correspondence, reports and drafts instructions. Facilitates methods for automating reports and correspondence. Uses a personal computer to transmit correspondence and creates reports, data bases, spreadsheets, graphics, slide shows and presentations.
- Manipulates data to meet presentation and report requirements.
- Serves as the expert on proper naval correspondence rules to include correct grammar, spelling, capitalization and punctuation. Receives telephone callers, visitors, complaints and outside contacts and directs them to appropriate contacts when necessary. Receives and delivers messages to staff members. Arranges and maintains appointment calendars for staff.
- Routes incoming mail to staff and work section. Establishes suspense dates to collect responses and submits information as required by requests.
- May perform support functions such as gathering statistical data, monitoring and reporting on support budgets, assisting in developing financial plans and obligating funds, liquidating travel claims, maintaining stock of office supplies; making arrangements for special events; collecting and reviewing section timecards for supervisor¿s signature, preparing and conducting briefs, presentations and training sessions; monitoring and distributing personnel paperwork such as selection and recruitment requests, personnel actions, training notices, performance reviews, position descriptions and individual development plans.
- Serves as Test Examiner. Maintains appropriate DANTES materials in the Education Center.
- Interacts with colleges/universities, NCMIS accounting technicians, and DFAS to resolve complicated tuition assistance (TA) issues. Identifies, analyzes and researches problems and functions as a technical expert regarding the TA accounts resolution process. Documents actions and progress in counseling notes in NCMIS for each student for whom service is provided. Reviews and complies with Marine Corps Orders and regulations governing TA funding policies.
- Provides counseling on Montgomery GI Bill Post 9/11 Bill and Marine Corps Apprenticeship Programs.
- Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise.
- Adheres to safety regulations and standards. Uses required safety equipment and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
- Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
