Description

Highbury Defense Group is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our government client and provide essential administrative support. The ideal candidate will have exceptional communication skills, be able to handle a wide variety of tasks, and anticipate the needs of our leadership team while maintaining a professional demeanor in a fast-paced environment.

Duties:

· Provide Executive Assistant support to a NAVWAR Competency Lead, Deputy Competency Lead, and Director of Operations to support day-to-day functions of the Program Management and Acquisition Office. Support government leadership with exceptional organizational and communication skills.

· Oversee schedules, manage calendars, appointments, recurring meetings and engagements, and travel arrangements with accuracy.

· Plan internal and external engagements, including meetings, conferences, and events.

· Assist in the development and consolidation of briefing material and drafting documents in accordance with Navy Correspondence Manual guidelines.

· Coordinate, monitor, and execute data calls to gather inputs from both internal and external stakeholders. Consolidate and communicate information from data calls to government leadership for further action.

Requirements

· Active Secret Security Clearance

· Minimum of 3 years NAVWAR programmatic and/or administrative experience with duties including:

o Managing incoming and outgoing communications at the Program Manager-level.

o Facilitating meetings by creating agendas, compiling documents, and assisting with presentations and briefs.

o Attending meetings to record minutes and monitor follow-up action items to completion.

· Proficient with Microsoft Office Suite, including SharePoint, Teams, and Planner.

· Ability to interact effectively with individuals at all levels to assist in the planning and coordination of activities with other NAVWAR and Navy organizations.

· Experience managing multiple activities with different clients, including changing priorities and short turn-around timelines.

Salary at Highbury Defense is determined by various factors, including but not limited to location, the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $80,000-95,000. The estimate displayed represents the typical salary range for this position and is just one component of Highbury Defense’s total compensation package for employees.
