Human Resources Assistant

The Dallas Opera is seeking a detail-oriented and highly organized Human Resources Assistant to join our team. In this role, you will provide administrative assistance within the Human Resources department, manage and coordinate IT support through our third-party IT provider, and support general organizational needs. This position is critical in ensuring smooth operations and will work closely with the Human Resources Administrator to maintain an effective and efficient work environment. The ideal candidate should be adaptable, proactive, and able to juggle multiple tasks while maintaining a high level of discretion and professionalism.

This position is a permanent hourly part-time position, with up to 20 hours/week on site. This position reports to the Human Resources Administrator.

Key Responsibilities

Human Resources Administrative Support:

  • Manage HR-related correspondence, including emails, memos, and employee communications
  • Assist with recruitment efforts by managing job postings, scheduling interviews, and maintaining candidate databases
  • Support employee onboarding and offboarding, including communication, documentation, and coordination of necessary tasks
  • Maintain HR records and update employee files, ensuring compliance with company policies and legal requirements
  • Prepare and process HR-related paperwork, including employment benefits, enrollments, forms, and other requests
  • Assist with employee engagement activities and other HR-related initiatives
  • Assist in scheduling and coordinating HR-related meetings, events, and trainings

IT Support Coordination:

  • Serve as the primary point of contact for our third-party IT provider
  • Ensure timely resolution of helpdesk tickets, escalating issues as needed
  • Schedule and coordinate on-site IT support appointments.
  • Monitor IT needs and work with the IT provider to ensure all staff members have the technology support they need

Additional Support:

  • Provide administrative assistance across various departments as requested, ensuring tasks are completed in a timely and organized manner
  • Handle other duties as assigned to ensure the smooth operation of the HR department and the organization, as a whole
  • Provide occasional evening or weekend support as necessary, depending on organizational needs and scheduled events
  • Assist with archival storage including organization, scanning, and uploading

Qualifications

  • Bachelor’s degree in related field preferred
  • Minimum of 1-2 years of administrative experience
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HR software systems or willingness to learn
  • Strong interpersonal and communication skills, with the ability to interact professionally with patrons, staff, and vendors at all levels
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Availability to work occasional evenings or weekends as needed
