The Scheduling Coordinator acts as a liaison between the patient and physician, managing all incoming calls and directing them appropriately. Responsible for scheduling and rescheduling services, responding to patient care questions, processing medication requests, and assisting with related administrative tasks.

Requirements

Qualifications and Experience

  • High school diploma or equivalent
  • Minimum two years of customer service experience, preferably in a medical office setting
  • Comfortable using multiple technology-based communication systems effectively and simultaneously
  • Previous experience using a multi-line phone system, preferred
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to act with integrity, professionalism, and confidentiality

Responsibilities Include But Are Not Limited To, The Following

  • Utilize practice management software to perform specific duties
  • Primary resource for all incoming calls
  • Direct all incoming calls to the appropriate staff/department based on pertinent information received from the caller
  • Return phone calls within acceptable time frames
  • Handle urgent/emergent situations arising from the patient, through the hospital or home health organizations
  • Maintain Urgent fax documents
  • Manage incoming and outgoing referrals including requesting patient medical records to assist in scheduling new patient referral requests
  • Maintain No Show list and attempt to contact patients twice to reschedule
  • Update pertinent information in a patient chart
  • Maintains a pleasant, cooperative demeanor while performing all duties
  • Notify Team Lead or Manager of issues interfering with department operations

Other

  • Follows all applicable department and practice policies and procedures
  • Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job function
  • Attends all regular meetings
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned
