Firm Description - Executive Assistant

This position is based out of the San Francisco office and open to a hybrid schedule once onboarding and orientation is complete.

Primary Responsibilities

  • Manage complex calendars, schedule appointments, make travel arrangements, and provide occasional personal assistance for Partners and Chief Executive Officer
  • Provide administrative support to the Leadership Team and Board of Directors as needed including; attend meetings, create meeting agendas, notes and follow up action items following quarterly Board meetings and other key leadership meetings
  • Compose and edit general correspondence, memos, and other documents as requested by the Partners and Chief Executive Officer
  • Compile and submit weekly timesheets and monthly expense reports
  • Track and help maintain Partners’ professional credentials and affiliations
  • Coordinate all logistics, including preparing meeting rooms, agendas, presentations, ordering meals, etc. for any meeting requested by the Partners and Chief Executive Officer, in coordination with the Administrative Team
  • Screens visitors, phone calls, emails or physical mail on behalf of the Partners and Chief Executive Officer
  • Help maintain referral network for Principals; including establishing and coordinating networking lunches and other events in coordination with the Marketing Team
  • Act as the primary point of contact for scheduling potential project meetings for the Principals and others as needed
  • Leads the Administrative/Facilities Teams, including coordination of office events, building maintenance and construction oversight, and oversight / management of the Office Manager
  • Cross-train with Office Manager to provide mutual backup support including front desk coverage and PTO coverage
  • Maintains confidentiality of sensitive information

Qualifications

  • Bachelor's degree required or equivalent work experience
  • At least 5 years of professional administrative experience working with senior level leaders
  • Experience managing people
  • Excellent computer skills, including proficiency with both Microsoft and Google applications
  • Knowledge of current Apple Macintosh OS, Adobe InDesign and Photoshop a plus
  • Excellent written and verbal communication skills; strong graphic skills a plus
  • Meticulous attention to detail
  • Organized and capable of effectively handling multiple projects/tasks concurrently
  • Ability to maintain strict confidence and discretion around sensitive information
  • Positive and helpful attitude, ability to provide friendly and professional client and staff service
  • Ability to perform work with minimal supervision and direction; proactively thinking through how best to support the Partners and Chief Executive Officer to ensure work is completed on time and up to the excellent quality required by the firm
  • Ability to work independently and collaboratively as part of a team

Compensation And Benefits

Walker Warner Architects offers a competitive compensation package including fully paid health benefits for employees, profit sharing, employer 401(k) contribution, generous paid time-off and flexible spending accounts, plus so much more.

The 2025 hiring base annual salary range for this position is $80,000 - $120,000. Any offer of compensation will be determined by a candidate’s education, skills, and experience as assessed during the interview process.
