Here's a Summary Of Responsibilities

The U.S. Olympic & Paralympic Committee (USOPC) is a nonprofit organization and is one of the only National Olympic/Paralympic Committees in the world that does not receive government funding for its Olympic and Paralympic programs, instead relying on the generosity of a committed community of sponsors and donors. Increasing philanthropic support for U.S. athletes is one of the USOPC’s highest strategic priorities, and hence, the organization has established the U.S. Olympic & Paralympic Foundation (USOPF) as the fundraising organization for the USOPC and is investing significant resources in its Development division.

The Coordinator of Donor Events & Engagement will play a pivotal role in supporting the Events Manager and the Associate Director, Trustee & Donor Engagement. This position is focused on planning and executing elevated, seamless events for the USOPF. This role encompasses various responsibilities, including meeting and event coordination, administrative support, data management, communications, and logistics.

Here's How You'll Have An Impact

Event Services (75%)

  • Serve as a partner in the planning and execution of events supporting donor engagement and fundraising goals.
  • Handle event logistics, including booking accommodations and reserving transportation, for athletes and staff, where needed, for events. Manage event shipments, including gifting and décor, to event sites, including handling returns.
  • Leverage technology to manage event operations, including event registration sites, Monday.com boards and trackers, and Salesforce and other platforms to track RSVPs.
  • Create and manage event campaigns.
  • Conduct vendor outreach and gather quotes for nationwide events.
  • Create, prepare, and distribute event communications and collateral (e.g. nametags, gift tags, gift bags, etc.). Draft and copy-edit communications, collaborating with the Internal Communications team to finalize content (e.g., save the dates, invitations, event emails, etc.). Prepare event briefs for staff, executives, and athletes to give an overview of the event.
  • Schedule and coordinate calendars for event preparation meetings involving athletes, executives, and staff.
  • As needed, provide onsite support during events, including event setup, gifting, attendance tracking, and check-in.
  • Collaborate with the data team to identify prospective event attendees, maintain data integrity, and add new prospects to Salesforce. As appropriate, apply gifting benefits in Salesforce.

Donor Experience & Administrative Support (25%)

  • Act as a collaborative partner with the Events Manager and Donor Experience team to ensure a comprehensive and tailored execution plan for all event-related workflows.
  • Assist the Events Manager with project management support for key donor stewardship and engagement projects by identifying tasks, resources, and coordinating with the Communications and Donor Experience team to meet deadlines.
  • Liaise across teams to maintain alignment between donor relations, stewardship, and events functions.
  • Help develop presentations and support materials for both internal and external purposes.
  • Conduct research on various topics including sporting events, trending athletes, engagement strategies, and elevated gifting opportunities to elevate event planning and donor experience operations.

Here are the skills and experience you'll need to be effective:

  • Bachelor’s degree in a related field preferred or equivalent work experience
  • 1-2 years' experience in an administrative or operational role
  • Prior experience with project management, events, and logistics
  • Experience in sports or nonprofit/fundraising a plus
  • Appreciation for the Olympic & Paralympic Movements and the power of sport
  • Organized with meticulous attention to detail
  • Excellent communication skills, both oral and written
  • Highly motivated, organized, flexible, and proactive
  • Ability to build and maintain relationships with people at all levels of an organization, both internal and external
  • Ability to travel and work extended hours as needed for events
  • Ability to learn new platforms and utilize technologies such as Salesforce, Monday.com, Form Assembly, Qualtrics, or others
  • Ability to exercise a high level of professionalism, judgment, adaptability, and resourcefulness

  • Hiring Pay Range:$22.65 - $26.62 per hour.
  • This full-time, exempt position is intended to work 40 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 15% target. The USOPC may change or eliminate this program at any time at its sole discretion.
