We are seeking a detail-oriented and organized Legal Admin Assistant to support our corporate legal team. The ideal candidate will be responsible for handling licensing processes, managing legal documents, coordinating administrative tasks, and ensuring compliance with internal policies and jurisdictional requirements. This role requires strong attention to detail, confidentiality, and proficiency in administrative and clerical procedures.
Key Responsibilities:
- Licensing & Documentation Management:
- Assist with incoming and outgoing licensing mail and packages.
- Research returned and refund checks, verifying account details, invoices, and addresses before processing.
- Pull invoices from Legal Tracker and maintain accurate documentation.
- Obtain signatures from officers, notarize documents, and send them as required.
- Import licenses into CRM and update records as needed.
- Notify jurisdictions of health licenses no longer needed.
- Shipping & Records Management:
- Prepare and send outgoing UPS packages, ensuring proper documentation and tracking
- Maintain organized records by scanning, updating databases, and filing documents accordingly.
- Financial & Vendor Coordination:
- Request vendor numbers, issue checks, and process void licensing checks when necessary.
- Administrative & Office Support:
- Perform routine data entry and office tasks, including document sorting, photocopying, distributing, and filing.
- Request Certificates of Insurance (COIs) for the team when required.
- Ensure all processes comply with legal and company standards.
Required Skills & Qualifications:
- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with Concur, SAP, and MS Office Suite
- Ability to handle sensitive information with strict confidentiality.
- Knowledge of administrative and clerical procedures, including record-keeping and data management.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and work in a fast-paced legal or corporate environment.
Preferred Qualifications:
- Prior experience in corporate legal administration, licensing, compliance, or a related field.
- Familiarity with legal databases, licensing procedures, and jurisdictional compliance.
