Main Duties And Responsibilities
- Ensuring event spaces are site visit ready when there is not an event
- Responsible for event space set up
- Onsite on event day to assist the Sales Manager and Director of Sales
- Inspecting Group VIP hotel room(s) prior to arrival
- Responding to lead voicemails to gather information needed to create and send proposals
- Conducting on-site venue tours and meetings
- Acting as a property liaison between the client(s) and the operations departments of the Hotel
- Assist with developing detailed Group Resumes & Banquet Event Orders outlining all pertinent group information and details relevant to each internal department
- Distributing weekly BEO and Resume packs to the operations on behalf of the sales department
- Maintaining and updating sales department event calendars
- Maintaining and updating leads/business in sales department software programs
- Establish, maintain and update files, records and other documents.
- Build room blocks and group masters, and pre-assign group rooms if needed.
- Input rooming lists as well as make/change reservations for groups.
- Take deposits and communicate with groups about their deposit schedule.
- Send all receipts and follow up with guests about deposits due & any balances due.
- Provide 60 & 30 days out updates on rooms booked with groups.
- Acquire special requests, all information about groups, and inputs notes into system
- Acquire payment and post banquet checks.
- Route group billing when necessary.
- Enter Group commissions when necessary.
- Send approved contracts to clients for review.
- Participate in any daily meetings, sales meetings, and weekly leadership meetings as deemed necessary
- Ensures event and ceremony space is properly set up in a timely manner
- Producing and maintaining menu cards, reader boards, door signs, and amenity requests for the Sales Department
- Maintaining proper attire
- All other duties requested by a member of management

Education
JOB REQUIREMENTS:
- High school diploma or equivalent required, college degree preferred
- 1-2 years hotel catering, event planning, or sales experience preferred
- OR a combination of hotel, customer service, sales, or related experience in hospitality
- Exceptional hospitality and customer service skills
- Flexible work schedule
- Food and wine service knowledge
- Excellent communication skills
- Understanding of hospitality operating systems
- Technical proficiency (basic computer applications including excel and word)
- Strong organizational and time management discipline with attention to detail
- Effective conflict resolution and problem-solving skills
- Ability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure
- Ability to adapt to changing guest needs
