Administrative & Client Relations Assistant
Hours: 5-15 hours per week (Flexible, as needed)
Compensation: $16-$20 per hour (based on experience)

Position Overview:
We are on the lookout for a highly organized, proactive, and customer-service-oriented Administrative & Client Relations Assistant. This role is pivotal in supporting our operations, managing client communications, and executing key administrative tasks.
Key Responsibilities:
- Client Communication & Follow-Ups
- Professionally handle incoming calls, gather client information, and log interactions.
- Follow up with potential clients who have expressed interest in our classes but have not yet enrolled.
- Send reminder calls/emails for upcoming classes and workshops.
- Respond to client inquiries via email, phone, and text with a friendly, professional demeanor.
- Administrative Support & Organization
- Maintain and update client records in Wix CRM, including adding notes, logging inquiries, and tracking follow-ups.
- Send confirmation emails to parents after their child attends a class.
- Ensure all client information is organized and accessible for follow-ups.
- Set up email templates for follow-ups, program reminders, and class updates.
- Assist with scheduling and calendar management.
- Event & Class Support
- Assist in setting up class materials and organizing class rosters.
- Ensure all parents receive a follow-up summary of what their child learned in class.
- Help coordinate and check in students at in-person events when needed.
- Some manual labor may be needed, such as carrying boxes and supplies as well as helping to set up for trade shows, booths, and events.
- Marketing & Outreach Assistance (Optional)
- Draft and schedule social media posts to promote upcoming classes.
- Help monitor community engagement (e.g., replying to inquiries on Nextdoor, Facebook, etc.).
- Send out email campaigns for upcoming classes (training provided).
Ideal Candidate:
- Strong Communication Skills: Able to interact with clients professionally and warmly.
- Highly Organized: Keeps track of follow-ups, client records, and email responses.
- Tech-Savvy: Comfortable using email, Google Voice, Wix CRM, and simple scheduling tools.
- Self-Motivated & Proactive: Can manage tasks independently with little supervision.
- Friendly & Professional Demeanor: Represents Poised & Proper with enthusiasm.
- Preferred Experience: Customer service, administrative work, or sales support. Etiquette experience is a plus, we are looking for someone who aligns with our brand message with excellent manners.
