What are your responsibilities?
The Accounts Receivable Specialist is responsible for the accounts receivable and collection function for AP4 Distribution, AP4 Services, and GTC Control Solutions as well as supporting the accounting group with other duties as needed. The position can work in our Lakeland, FL office, hybrid, or remotely.

Primary Essential Duties

  • Process, verify accuracy to POs, and post invoices to the accounting/ERP system, as well as ensuring delivery to the customer via email, system automation, or customer portals.
  • Post cash receipts daily and weekly cash sweeps.
  • Lead the collections process with timely and professional communication to customers.
  • Collaborate with operations to gain assistance with past due receivables while maintaining positive customer relationships.
  • Perform scanning and uploading functions to ensure all necessary documentation is properly uploaded to the ERP system.
  • Prepare and analyze Company AR aging schedules on a weekly basis.
  • Assists with the annual audit, providing necessary and relevant documentation and information.
  • Identify and recommend updates to accounting processes and procedures to gain efficiency in the function.
  • Comply with local, state, and federal requirements, including but not limited to reporting of sales & use taxes.
  • Assist with credit-related activities including, but not limited to, performing credit checks through D&B, recommending credit extensions, and maintaining credit profiles within the system.
  • Maintain and own the Accounts Receivable inbox ensuring timely communication with internal and external customers and stakeholders.
Secondary Essential Duties
  • Collection and warehousing of customer tax documentation.
  • Occasionally assisting the AP Specialist with confirming vendor banking details.
  • Provide intercompany transaction support and sharing of best practices with subsidiary accounting teams.
  • Work with customers to switch payment methods to ACH where checks are received.
  • Other job-related duties as assigned.
What do you need to qualify for this role?
  • Bachelor’s degree in accounting, finance or business (preferred).
  • At least 4 years of experience in a corporate business setting.
  • Experience performing AR, billing, and collections.
  • Strong organizational skills, ability to prioritize, and multitask.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Ability to solve problems and recommend enhancements.
  • Desire to learn and grow with the company.
  • Excellent written and verbal communication skills.
  • Multiple entity and intercompany experience.
  • Experience using various ERP systems (preferably Quantum and Traverse)
  • Proficient in full suite of Microsoft Office.
