Venue Coordinator
Summary:
Milano is seeking a detail-oriented and customer-focused Venue Coordinator to oversee venue floor plan operations, ensuring seamless event execution and an exceptional guest experience. This role involves both hands-on coordination—such as setting up spaces, managing floor plan logistics, and providing excellent customer service—as well as administrative responsibilities like coordinating event logistics, communicating with clients via phone, email, and in-person layout meetings, and managing vendor relations. Success in this position requires strong communication, problem-solving skills, and the ability to maintain the venue’s highest operational standards. The Venue Coordinator plays a crucial role in upholding the venue’s reputation for excellence, directly contributing to client satisfaction and the overall success of the company. Responsibilities:
Venue Floor Plan Coordination
- Oversee event floor plan logistics, including setup, layout adjustments, and compliance with venue guidelines.
- Ensure proper placement of tables, chairs, and other event elements according to client specifications.
Event Execution & On-Site Management
- Supervise events to ensure seamless execution, addressing any on-site issues promptly.
- Work alongside vendor staff to oversee event flow, guest experience, and venue coordination.
- Maintain cleanliness and organization of the venue before, during, and after events by conducting thorough walk-throughs of the facility.
- Coordinate with vendors, including catering, décor, and entertainment, to ensure proper setup and execution.
Client and Milano Team - Communication & Coordination:
- Serve as the main point of contact for clients, and Milano event staff.
- Conduct in-person meetings, phone calls, and email correspondence to confirm event details.
- Provide guidance on venue policies, logistics, and available resources.
Administrative & Logistical Support
- Assist with event-related paperwork, layout meetings, and scheduling.
- Maintain accurate records of floor plans, client preferences, and agreements accordingly.
- Provide post-event reports and feedback to improve future event planning.
- Work closely with internal team members to ensure venue needs align with event requirements.
Problem-Solving & Customer Service
- Address client and guest concerns professionally and efficiently.
- Troubleshoot and resolve last-minute changes or challenges during events.
- Ensure a high level of customer service, creating a positive and memorable guest experience.
Job Overview and Requirements:
- Location: Milano Event Venue – Sugar Land, TX
- Job Type: Full-Time (Tuesday – Sunday)
- Availability: Must be available to work on weekends and holidays.
- Pay Rate: $18.00 - $21.00 (per hour)
Education & Experience:
- High School Diploma or equivalent required
- Prior experience in food & beverage, event planning, wedding coordination, or venue operations preferred
Certifications:
- TABC Certification is recommended but not a deal breaker.
Physical Requirements:
- Ability to lift up to 30 lbs. frequently
- Ability to stand and walk for 8-12 hours during events.
Additional Requirements:
- Minimum age: 21+
- Must have reliable transportation and their own vehicle to commute to and from the venue.
