Job Title: Accounting & HR Operations Specialist

Type: Permanent-Full time

As an Accounting & HR Operations Specialist, you will help us to ensure that the organization s accounting, HR, and other operational functions run smoothly and efficiently. Reporting directly to the Chief Operating & Financial Officer (COO/CFO), this role will manage payroll, accounts payable/receivable, financial reconciliations, and general ledger transactions. You will also assist with HR tasks, project coordination, and general administrative duties, playing a key role in optimizing processes and ensuring operational success across departments.

  • Accounting: Manage payroll, A/P, A/R, journal entries, and financial reconciliations in the General Ledger (QuickBooks). Manage employee credit card reconciliations. Oversee 401(k) contributions, prepare tax filings and year-end 1099 forms. Interpret and apply payroll laws to ensure compliance. Prepare, reconcile, and process quarterly commission payments for financial advisors. Manage all vendor relationships, ensuring contractual terms are met. Assist during audits and budget preparation as necessary.
  • Human Resources: Assist with employee onboarding, benefits management, record-keeping, event coordination, and communication of company policies.
  • Project Coordination: Support the COO/CFO in managing cross-departmental projects, ensuring timely and on-budget completion.
  • Facilities: Assist with office space-related projects and other related initiatives.
  • Administration: Provide general office support, technology assistance, and ad-hoc tasks as required by the COO/CFO.
  • Contract Negotiation: Negotiate contract terms, costing and conditions with internal and external stakeholders.
  • May be required to perform other operational and administrative tasks as needed.
  • Support HR and other departments by generating reports, analyzing data, and responding to system-related queries.

Required Skills:

  • 0-3 years of experience managing payroll, accounts payable (A/P), and accounts receivable (A/R).
  • Previous experience with QuickBooks or similar accounting software is highly preferred.
  • Strong attention to detail and the ability to ensure accuracy in financial transactions and reconciliations.
  • Excellent problem-solving skills with the ability to manage multiple projects simultaneously.
  • Ability to maintain strict confidentiality and handle sensitive information with professionalism and discretion.
  • Bachelor s degree in accounting, Business Administration, or related field, or equivalent work experience preferred.
  • Excellent communication, negotiation, and interpersonal skills.
