About the Company: The Advocacy Academy is a training and consulting company based in Philadelphia, specializing in the delivery of professional development courses for those who respond to power-based violence (sexual assault, domestic violence, child abuse, human trafficking, etc.).
Job Summary: The Advocacy Academy is seeking a highly organized and detail-oriented person to assist clients with course enrollments, answer questions about the learning management system, manage training contracts, and organize course content. This role requires a proactive individual with excellent administrative, technical, and communication skills to ensure smooth operations across training programs and content platforms.
Key Responsibilities
Client Management:
- Maintain and organize client contracts in the client relationship management system (CRM), ensuring compliance with company policies and deadlines.
- Track client needs (training confirmations, evaluations, invoices).
- Liaise finance team to ensure the timely payment of invoices.
Training Curriculum & Learning Management System (LMS):
- Assist in developing and updating training materials.
- Manage course uploads, user enrollments, and reporting within the LMS.
- Coordinate training schedules, facilitator assignments, and learner communications.
- Monitor learner progress and assist with technical support related to LMS usage.
Content Management System (CMS):
- Organize and maintain digital training materials in the CMS.
- Ensure consistency and accuracy of content across platforms.
- Work with subject matter experts to update and optimize learning content.
General Administrative Support:
- Assist with documentation, record-keeping, and reporting.
- Communicate with internal teams and clients regarding training schedules and contract details.
- Identify and implement process improvements for more efficient operations.
- Assist with scheduling blog posts and product launches.
- Assist with logging expenses and receipts related to training.
Job Requirements:
- Must have access to WiFi in order to work remotely. Lack of WiFi will not affect hiring eligibility, but it will result in the need for onsite work (not work-from-home).
- Must be available at least 3 days/ week with some availability within business hours (9-5pm).
Qualifications & Skills
- High School Diploma.
- Strong organization skills.
- Customer service skills.
- Excellent written and verbal communication skills (and a keen eye for editing the writing of others).
- Ability to work remotely and independently, but still part of a team.
- Basic knowledge of Google Workspace/ Gsuite and Microsoft Office.
- Comfort with topics like trauma, sexuality, violence, abuse, exploitation, etc. and the ability to speak about these topics sensitively.

Preferred Talents (but not required):
- Familiarity and experience with writing learning objectives and course syllabi.
- Experience with learning management systems (i.e. Thinkific, Blackboard, etc.).
- Experience with accounting software (i.e. Quickbooks, Freshbooks, etc.).
- Simple graphic design (using programs like Canva, for example).
- Comfort with social media platforms like Instagram, TikTok, LinkedIn, and Facebook.
