Job Purpose

The position is responsible for supporting other staff with invoicing, collecting, accounts payable, and any other operational functions that may be needed.

DESCRIPTION OF ESSENTIAL DUTIES:

  • Provide general departmental support for copying, filing, creating mailing labels, preparing mailings
  • Complete departmental projects as assigned
  • Provide support to management as needed (report running, etc)
  • Provide support in collection calls / emails from past-due customers
  • Become profecient in the BrandSafway invoicing system and have a full understanding of billing proceedures
  • Main / email invoices to customers in a timely manner
  • Become profecient in the BrandSafway PO requesting system and Accounts Payable proceedures
  • Share the duties of answering incoming phone calls

Qualifications Requirements

  • Associates degree or equivalent experience
  • Two years experience as an administrative assistant or office manager
  • Strong organizational skills with the ability to multi-task
  • Excellent interpersonal skills; ability to get along with diverse personalities: exhibit tact, professional attitude, maturity and flexibility
  • Detail oriented, highly organized, strong task management skills
  • Self-directed, able to complete projects/tasks with limited supervision
  • Strong project coordination skills with the ability to leverage others in order to complete projects
  • Rock-solid Microsoft Office skills - Word, Excel, Teams, and Outlook
  • Ability to handle key assignments of confidential nature and maintain highly confidential information
  • Ability to build professional and respectful working relationships at all levels (internally and externally)
  • A creative mind with the ability to suggest improvements
