Job Description

About the Role

Reporting to the School Programs and Partnerships Manager and working closely with the K-12 Programs Coordinator, the K-12 Programs Assistant coordinates the logistical and administrative aspects of The Huntington’s self-guided visits for students. This is a limited-term, part-time role, 24-27 hours per week slated to last until June 2025.

S/he/they will demonstrate a background of working directly with people from diverse racial, ethnic, geographic and socioeconomic backgrounds, using a welcoming, inclusive, and accessible approach.

Essential Duties

  • Coordinate logistics for self-guided visits, including registrations and scheduling, using Ticketure.
  • Maintain correspondence with teachers/schools via email and phone to convey logistical information for self-guided visits; respond to questions.
  • Organize and process all teacher paperwork for self-guided visits, including waivers.
  • Track and process payments for non-Title I student visits.
  • Maintain accurate audience headcounts for all school programs; keep records of attendance data. Convey data to K-12 Programs Coordinator.
  • Serve as bus greeter and point person for self-guided visits tours. Check in groups using Ticketure software.

Other Duties

  • Provide support and coordination of other projects as assigned, including program facilitation as appropriate.
  • Participate in interdepartmental and cross divisional teams in the development of collections-based programs.
  • Remain up to date in knowledge of museum education theory, curriculum development, and current issues and practices in informal and formal education.

Experience

Candidate Requirements and Experience

  • 0-2 years' experience coordinating program or project activities including scheduling, communications, or registration processes, and/or related educational activities.
  • Experience in tracking program or project goals, communications, and activities.

Knowledge, Skills, And Abilities

  • Ability to communicate clearly through written and verbal forms.
  • Ability to work independently as well as part of a team.
  • Ability to meet deadlines and multi-task.
  • Ability to manage projects from start to finish and meet deadlines appropriately.
  • Proficient PC computer knowledge: MS Office, Excel, etc.
  • Skill in working with people from diverse backgrounds, experiences, and cultures.
  • Skill in working diplomatically with staff and volunteers.
  • Ability to demonstrate flexibility to meet changing needs and expectations.

Working Conditions

Work is in a normal office environment. Extensive computer work is required.
