Overview: The GME Administrative Manager plays a vital role in overseeing the administrative and operational aspects of graduate medical education (GME) programs within the Radiology Department. This position is responsible for managing fellowship and residency program accreditation, compliance, recruitment, onboarding, curriculum planning, evaluation processes, financial management, and faculty/staff supervision. The Administrative Manager works closely with program directors, faculty, and institutional leadership to ensure the efficiency and success of GME programs while also supporting departmental HR functions and business operations.

Key Responsibilities

Program Administration & Compliance:

  • Oversee the administration of multiple ACGME and non-ACGME Radiology fellowship and residency programs, ensuring compliance with all accreditation and board requirements.
  • Serve as the subject matter expert on ACGME, institutional, and specialty-specific policies, providing guidance on accreditation standards and program policies.
  • Manage fellowship and residency management software (MedHub) to track scheduling, evaluations, compliance requirements, and reporting.
  • Ensure the completion and submission of required program evaluations, compliance reports, and milestone data.
  • Prepare for and coordinate internal and external program reviews, including ACGME site visits and audits.
  • Oversee curriculum development, including educational conferences, training sessions, and competency assessments.

Recruitment, Onboarding & Credentialing

  • Lead the recruitment process for fellows and residents, ensuring adherence to AAMC National Resident Ranking Program requirements.
  • Organize and manage the match process, applicant evaluations, and candidate selection.
  • Coordinate onboarding and credentialing for new fellows and residencts, ensuring compliance with institutional, hospital, and board requirements.
  • Develop a structured orientation plan to integrate fellows into the program effectively.
  • Oversee offboarding and alumni relations, ensuring the completion of exit evaluations and verification processes.

Financial & Business Operations

  • Manage financial transactions related to fellowship and residency programs, including reimbursements and budget oversight.
  • Collaborate with department leadership to analyze financial reports, track expenses, and forecast program budgets.
  • Submit iForms for salary adjustments, bonuses, and cost distribution changes for faculty and fellows.
  • Generate and analyze data reports related to program operations, faculty credentialing, and revenue trends.
  • Support business operations by compiling and presenting financial and performance data to leadership.

Operational & Business Analytics

  • Run, analyze and report monthly financials and data using standard reports and those generated from Radiology-specific analysis tools
  • Generate and analyze reports to support existing and new department-based programs. Examples include:
    • physician re-credentialing and Fellow/Resident volume reports
    • DUHS effort certification and Clinical FTE measurements
    • Quarterly physician Work RVU reports
    • Monthly custom P&Ls
    • Revenue/projects data and trends reporting
  • May assist with monthly FAM validations, reports, and error analysis and corrections
  • Assist management in forecasting and reporting by providing historical information.
  • Work with departmental directors, unit managers and appropriate personnel to prepare annual budgets.
  • Perform other related duties incidental to the work described herein.
Staff & Faculty Management

  • Provide leadership and supervision for a team of clerical and administrative staff supporting the education programs.
  • Set clear expectations, conduct performance evaluations, and provide ongoing training and development opportunities.
  • Manage time and attendance, work schedules, and coverage planning for staff.
  • Lead recruitment, onboarding, and professional development initiatives for administrative team members.
  • Serve as a resource for faculty and program directors on HR policies, ensuring compliance with institutional guidelines.

Strategic Planning & Process Improvement

  • Develop and implement best practices to enhance efficiency, communication, and program operations.
  • Collaborate with departmental leadership to identify areas for improvement and implement solutions.
  • Pilot alumni engagement initiatives to support recruitment and program development.
  • Represent the department on institutional committees and initiatives related to GME.

Required Qualifications

  • Bachelor’s degree in business, healthcare administration, education, or a related field.
  • Minimum of 4 years of related experience, preferably in GME, residency, or fellowship program administration.
  • Strong knowledge of ACGME accreditation standards and GME policies.
  • Experience with MedHub or similar fellowship management software preferred.
  • Proficiency in Microsoft Office Suite, database management, and financial reporting.
  • Demonstrated leadership experience with the ability to manage and develop staff.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and interpersonal abilities.

Preferred Qualifications

  • Master’s degree in business, healthcare administration, or related field (may substitute for 2 years of experience).
  • Experience in financial management, budgeting, and business analytics within a healthcare setting.
  • Familiarity with recruitment databases such as NRMP.
  • Ability to develop and implement strategic initiatives for program growth and process improvement.

Work Schedule

  • Hybrid work model (on-campus and remote work as needed).
  • Standard working hours (Monday–Friday, 8:00 AM–5:00 PM), with occasional evening/weekend work as required.

Anticipated Pay Range

Duke University provides an annual base salary range for this position as USD $ 61,465.00 to USD $105,523.00.
