The Executive Administrative Assistant plays a vital role in providing business and operational support to the Co-CEOs of Therakos and it's Leadership Team. This role focuses on maximizing business efficiency by enhancing processes, managing communications, and coordinating operations.

Key responsibilities include calendar management, meeting and travel arrangements, expense reimbursements, and supporting team initiatives. The successful candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while fostering positive relationships across all levels of the organization.

Job Responsibilities:

  • Maintain calendars, schedule meetings, and facilitate team interactions.
  • Arrange appointments and coordinate complex domestic and international travel plans.
  • Process reimbursements, handle follow-ups, and manage expense reporting.
  • Plan and organize meetings, including preparing agendas, and coordinating logistics.
  • Collaborate with global teams and adjust schedules to accommodate time zones, ensuring timely communication and response, even outside of standard business hours when required.
  • Support international travel arrangements and global meeting logistics
  • Assist with cross-functional team initiatives and programs, ensuring smooth execution.
  • Develop presentations, and other communication materials as needed.
  • Collaborate on special projects and ensure timely completion of deliverables.
  • Oversee administrative tasks, including managing correspondence, maintaining files, and ordering office and catering supplies.
  • Ensure efficient day-to-day operations by liaising with staff, executives, and other teams.
  • Handle highly confidential information with the utmost discretion and professionalism.

Job Requirements:

Skills:

  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities to work effectively with internal and external stakeholders.
  • Experience in optimizing processes and handling budget tracking/reporting.

Experience:

  • 7+ years as an Executive Assistant supporting senior leadership, with expertise in managing high-level operations.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), collaboration tools (e.g., Zoom, Teams), and process management systems.

Education:

  • High school diploma or equivalent required. An associate or bachelor’s degree is preferred.
