Availability: Monday to Friday, from 9:00 AM to 5:00 PM Pacific Time.
Join a full-service event marketing agency that creates engaging brand experiences for top names like Nickelodeon, Disney, Hasbro, Paramount, and more. Specializing in live events, national promotional tours, and digital experiences, this agency is seeking a Program Coordinator to oversee its Costumed Character Appearance Program (CAP). This is a highly administrative role requiring excellent organizational skills, keen attention to detail, and the ability to juggle multiple moving parts.
RESPONSIBILITIES
Program Coordination
- Responsible for planning, coordination and recapping for all assigned projects with an emphasis on the Character Appearance Program (CAP).
- Attend weekly meetings with project team(s) to review assigned project requirements, client objectives, due dates, finances, and current project status so that work is concurrent and synchronized.
- Provide client and project team with concise and professional written next steps and recaps on a timely basis.
- Other duties as required to make Oasis and its projects a success.
Events & Logistics
- Secure all staff travel and provide recommendations when costs are high or challenges are encountered due to schedule, location, staff, etc. (Review ALL confirmed itineraries within 12 hours so adjustments can be made without incurring costs).
- Ensure all event details are clearly communicated to event staff through complete, accurate event records in database, pre-event emails and phone calls with staff.
- Request and submit all invoices to purchasers and clients.
- Confirm all shipments and ensure shipments arrive on time and in budget.
- Work with purchasers and client teams on the development of marketing materials and event specific assets. Ensure all materials are posted as approved.
- Submit event recaps to clients the business day following an event by 12pm PT.
- Manage budgets for all CAP events and provide status updates on a weekly basis. Follow up with event staff regarding any important repairs, notes, concerns included in the event recap.
- Actively update staff list (following information should be included & updated): Current city of residence, Preferred airport, Skillset as related to CAP.
- Manage the development and maintenance of CAP event staff training materials, documents, and videos.
- Ensure that all tech riders are up to date for all CAP event options.
Warehouse & Costume Management
- Work closely with the Warehouse team and CAP inventory of costumes, washables, backdrops, and event supplies.
- Oversee repairs or replacements, ensuring items remain in show-ready condition.
- Track and document all inventory updates, and actively update all costume requirements & restrictions
QUALIFICATIONS:
- Strong administrative skills with the ability to manage multiple tasks and details in a fast-paced environment; this is not a creative or business development role.
- Passion for organization and logistics, with a keen ability to track and manage moving parts within the CAP.
- Excellent verbal and written communication skills, with the ability to engage professionally with internal teams and external partners.
- Relevant experience in administrative roles within a busy office, law firm, travel agency, or similar structured environment.
- Comfortable working in a fully remote setting with no plans to transition to an in-office environment.
