This role reports directly to the Supervisor, Medical Staffing and supports functions across the Medical Staffing department, including recruitment, scheduling, performance, learning and development, and credentialing. The Associate I, Medical Staffing provides comprehensive administrative support for all medical staffing operations and projects.

Key responsibilities involve assisting in recruitment processes, managing shipboard staff schedules, providing administrative support for performance improvement processes, credentialing tasks, supporting learning opportunities for medical staff, participating in quality improvement initiatives, and supporting cross-coverage of all Associate duties within the Medical Staffing vertical.

This role will interface with all brands, medical teams onboard, shoreside health services leaders, and external vendors that manage the healthcare systems for North America. The North American brands comprise five brands with approximately 65+ ships carrying over 10 million guests annually and employing over 100,000 team members.

Essential Functions:

  • RECRUITMENT
    • Coordinates administrative processes from initial contact to onboarding; maintains records in the Applicant Tracking System (ATS).
    • Collects, compiles, and assists with analysis of recruitment, onboarding, retention, and attrition data.
    • Participates in screening interviews and reference verifications to assess candidates’ personality and character under the supervision of recruiters and hiring managers.
  • CREDENTIALING AND ONBOARDING
    • Conducts background checks and verifies the credentials of potential hires.
    • Tracks and maintains medical staff credentials, certifications, accreditations, licenses, and registrations.
    • Ensures ongoing compliance with credentialing requirements
  • SCHEDULING
    • Assists with administrative processes and ensures compliance with pre-boarding documentation requirements.
    • Assists with identifying scheduling solutions to address immediate needs that balance skill, tenure, learning needs, team dynamics, staff preferences and itinerary risks.
    • Coordinates with various departments to facilitate seamless scheduling operations and resolve scheduling conflicts or issues.
  • MEDICAL STAFF PERFORMANCE
    • Provides administrative support to address individual performance improvement needs and coordinates performance review meetings.
    • Screens performance reviews and collates feedback to identify talent or individuals with performance improvement needs.
    • Collates feedback for individual performance reviews associated with promotion and confirmation to senior ranks.
    • Supports professional development programs and provides administrative support for customized learning opportunities.
  • MEDICAL STAFF LEARNING AND DEVELOPMENT
    • Coordinates training sessions and course logistics, including scheduling, materials, and communication.
    • Maintains training records and monitors Learning Management Systems (LMS) compliance.
    • Monitors and assists with evaluating training programs through feedback and performance metrics.
    • Collaborates with authors and subject matter experts to ensure relevant and up-to-date training content.
    • Assists with maintenance of SharePoint-based resource sites, documentation management and publication logistics.
  • AD HOC PROJECT SUPPORT AND CROSS-COVERAGE OF ASSOCIATE RESPONSIBILITIES
    • Effectively supports ad-hoc and non-recurring projects while satisfying requirements for regular daily assignments.
    • Provides cross-coverage for other roles upon request.
  • QUALITY IMPROVEMENT
    • Coordinates feedback from shipboard medical staff, such as feedback from new-to-sea staff and exit interviews.
    • Performs any required administrative tasks associated with data collection for medical staffing audits.
    • Assists with corrective actions identified by the quality and patient safety team to address workflow process improvements or training needs in response to patient safety events, feedback


Qualifications:

  • Associate degree or equivalent college coursework required. Bachelor’s degree is preferred.
  • Certifications/ education in management, human resources and learning and development may be advantageous.
  • Minimum 1 year experience in an administrative support role. College degree may substitute for work experience. Experience in a clinical setting preferred.


Knowledge, Skills and Abilities:

  • Proficiency in Microsoft 365 Office applications, SharePoint, other web-based and Company applications and the use of power platforms.
  • Communication, and organizational skills. Knowledge of clinical applications of electronic health records is preferred.


Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel: No or very little travel likely

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.

Offers to selected candidates will be made on a fair and equitable basis, taking into account specific job-related skills and experience.
