Terms of Employment
• W2 Contract, 5 Months (Possible Extension / Permanent Conversion)
• This position is 100% onsite in Baltimore, MD (21209).
• This position has a Monday - Friday, 8am-5pm (ET) shift.
Overview & Responsibilities
The Medical Administrative Assistant plays a crucial role in ensuring the smooth operation of a healthcare office by providing administrative support to staff, managing patient information, and coordinating office tasks. Key responsibilities include:
• Answering and directing phone calls, taking messages, and responding to inquiries
• Greeting patients and visitors, ensuring a welcoming environment
• Scheduling and coordinating patient appointments, meetings, and staff events
• Preparing reports, typing meeting minutes, and drafting correspondence
• Reviewing and processing physician billing sheets for accuracy and completion
• Ordering and maintaining office and medical supplies
• Sorting and distributing mail, faxes, and other communications
• Maintaining organized filing systems, including tracking referrals and purchase orders
• Assisting with insurance verification and patient billing inquiries
• Ensuring compliance with HIPAA and other healthcare regulations
• Supporting department staff with copying, scanning, and faxing documents
Required Skills & Experience
• High School Diploma or Equivalent preferred; AA Degree preferred
• Two years of successful administrative or secretarial experience in a healthcare setting
• One year of billing experience, preferably in a pediatric healthcare environment
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Typing proficiency and strong data entry skills
• Experience managing electronic medical records (EMR) systems

• Strong oral and written communication skills
• Ability to handle sensitive patient information with discretion and professionalism
• Excellent time management and ability to multitask in a fast-paced environment
• Familiarity with medical terminology and insurance procedures
• Experience recording and transcribing meeting minutes accurately
• Customer service skills with sensitivity and tact in dealing with patients, families, and staff
