Executive Assistant
OUR MISSION:
Family Reach is a national 501(c)(3) nonprofit dedicated to removing the financial barriers standing between cancer patients and their treatment — such as loss of income, increased out-of-pocket expenses, and socioeconomic factors. When faced with these financial barriers, families have to make impossible decisions like choosing between paying for treatment or basic essentials like housing, food, and transportation. No family should have to choose between their health and their home — and we won’t stop until that’s the reality.
POSITION OVERVIEW:
The seasoned Executive Assistant will provide comprehensive support to the CEO. The Executive Assistant will primarily focus on handling the demanding schedules, complex meetings, and high-priority communications necessary to further the mission of Family Reach at the executive level.
This position requires a proactive, highly organized individual who thrives in a dynamic, ever-evolving nonprofit environment. The Executive Assistant will work closely with team members across various departments to ensure that deadlines and priorities are met.
This role also includes direct involvement with the donor pipeline, keeping track of key opportunities and helping ensure that outreach strategies are executed efficiently.
This role has no direct reports.
KEY RESPONSIBILITIES:
Calendar & Meeting Management:
- Manage and optimize the calendar of the CEO, ensuring time is allocated for meetings, strategic sessions, and program-related activities.
- Coordinate schedules across internal and external stakeholders, handling frequent changes and ensuring all parties are kept informed.
- Prepare meeting agendas and materials ahead of time, ensuring all logistical details are covered.
- Schedule and coordinate high-stakes meetings, both in-person and virtually, with board members, donors, and external partners.
- Coordinate logistics for the CEO’s key organizational events, including board meetings, strategy sessions, and fundraising event appearances.
Deadline Management & Task Tracking:
- Stay on top of deadlines for both short- and long-term projects, ensuring timely completion of deliverables and that key milestones are met.
- Implement and maintain systems to track project deadlines, team assignments, and deliverables for various departments.
- Support the CEO in prioritizing tasks and ensuring resources are appropriately allocated.
Donor Pipeline & Relationship Management:
- Maintain an intimate understanding of the CEO’s donor pipeline, keeping track of important opportunities, key relationships, and follow-ups.
- Work closely with the development team to support CEO’s donor meetings, events, and communication.
- Ensure that CEO is prepared for donor-related activities, keeping her up to date on opportunities and timelines.
- Work with Development department to maintain a system for tracking communication with donors, ensuring all necessary steps are followed through.
LinkedIn & Communications:
- Work closely with the Communications and Programs team to support CEO’s LinkedIn.
- Collaborate on content creation, managing the posting schedule to align with key messaging around Family Reach’s mission, impact, and donor engagement for CEO’s LinkedIn.
- Assist in drafting LinkedIn posts, focusing on Family Reach’s major themes: mission updates, donor highlights, and organizational milestones.
QUALIFICATIONS:
- Minimum of 7-10 years of experience as an Executive Assistant, including prior experience working with senior leadership in a fast-paced nonprofit or corporate environment.
- Demonstrated ability to manage a complex calendar, coordinate logistics, and stay on top of multiple deadlines simultaneously.
- Excellent written and verbal communication, with a high degree of professionalism and the ability to communicate clearly with a variety of stakeholders.
- Proficiency with common software tools (Google Workspace, Confluence, Salesforce, etc.) and the ability to adapt to new platforms and systems.
- Strong collaborative skills and ability to work cross-functionally across departments.
- High level of accuracy in managing information.
- Ability to anticipate needs, take initiative, and solve problems creatively while maintaining flexibility in a fast-moving environment.

COMPENSATION:
The salary range for this position is $70,000-$80,000. Family Reach offers an attractive benefits package, including, but not limited to, an annual performance bonus, medical, dental, vision, retirement plan, and generous vacation and leave policies.
