Executive Assistant

Role Description
We are seeking a proactive, resourceful, and highly organized Executive Assistant to provide high-level administrative support for our CEO and his Chief of Staff. Context-setting, accuracy, and speed are key to success in this role. This role is ideal for someone who thrives in a fast-paced environment, takes initiative, understands the importance of communication across a disparate group of colleagues and peers, and enjoys juggling multiple priorities while working closely with senior leaders and professional team members. This is a full-time hybrid role (2 days a week on-site in Arlington, VA).
Responsibilities
Executive Support
- Manage complex calendaring for the CEO, including scheduling internal and external meetings and interviews. Coordinate with C-suite clients and their EAs, independent contractors, other execs, and professional team members, and swiftly and diplomatically work to resolve scheduling conflicts.
- Track CEO and Chief of Staff email correspondence and communications, ensuring timely follow-up.
- Ensure all CEO meetings and travel are being tracked and appropriately prioritized.
- Prepare meeting agendas as needed, and/or work with team members to ensure meeting agendas and any related prep are up-to-date and accessible for the CEO.
- Take detailed notes to support Chief of Staff in meetings, and track action items across Consulting, Account Management, and Special Projects items to ensure timely execution.
- Manage all travel arrangements, including flights, cars, accommodations, and full-day itineraries.
Administrative Tasks
- Own development and upkeep of master dashboard to track and organize CEO and Chief of Staff’s tasks and priorities.
- Complete expense reports with clear line itemization for Finance team.
- Assist team members with presentations, reports, and client-facing materials as needed.
- Maintain and organize digital files (SharePoint, Salesforce) pertaining to Chief of Staff and CEO’s priorities, ensuring all documents and/or records are easily accessible.
Operational Support
- Collaborate with the Chief of Staff to streamline communications and processes across a range of stakeholders, including peers, independent contractors, and other execs.
- Work closely with President’s EA to ensure alignment between President and CEO priorities and travel.
- Support Chief of Staff and/or President’s EA in planning and executing internal and external events, including webcasts, workshops, dinners/events, retreats, and New Mentor Orientation sessions.
- Manage office supplies, including monitoring inventory and placing orders on a regular cadence to ensure the office is well-stocked and organized.
Ad Hoc Projects
- Take on special projects as needed to support the CEO, Chief of Staff, and broader team.
Location
- Hybrid/Arlington, VA - two days a week (Tuesdays and Wednesdays) in office required.
Qualifications
Skills
- Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
- Extensive scheduling experience managing complex calendars and competing priorities.
- Strong written and verbal communication skills.
- Ability to capture verbal instructions in real-time and type at 80+ WPM.
- Proficiency in productivity tools (Microsoft Office Suite, Outlook/apps, Asana, Zoom, etc.).
- Familiarity with CRM systems (e.g., Salesforce) is a plus.
- Strong travel experience.
- Proficiency in preparing expense reports.
- Bachelor's degree required.
