Job Summary: As a Virtual Administrative Assistant, you will provide comprehensive administrative support to our team, ensuring efficient operation of our medical and clinical research activities. Your role is crucial in facilitating the smooth execution of daily tasks and long-term projects by handling a variety of administrative and clerical tasks remotely.

Key Responsibilities:

  • Manage correspondence by answering emails and sorting mail
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system for clinical and research documentation
  • Update and maintain office policies and procedures
  • Order office supplies and research equipment and maintain inventory
  • Schedule and coordinate appointments and meetings
  • Support the team by performing tasks related to organization and strong communication
  • Ensure efficient and effective administrative information and assistance

Qualifications:

  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task.

Preferred Qualifications:

  • Experience in a medical or clinical research setting
  • Familiarity with medical terminology and clinical research protocols
  • Experience with electronic health record (EHR) systems
