ABOUT THE JOB
Reporting to the Vice President Sales, the Executive Assistant is a highly organized and focused self-starter who’s able to identify and prioritize tasks with a high degree of autonomy. You’ll have the chance to support the US sales department, performing high-level administrative support, project management support, and logistical tasks with confidentiality and the utmost discretion.
Our ideal candidate is an experienced executive assistant who prides themselves on anticipating your executive’s needs, keeps things running smoothly and clears the path for our Vice President of Sales to do their best work. You are calm, collected, organized, solutions-oriented, and have a strong financial acumen who is not easily flustered, especially when plans change or shift. You are entrepreneurial by nature and can work on multiple projects at the same time.
This position is located in Orlando, FL or Miami, FL and is remote.
THE DAY TO DAY:
- Provide administrative support to the Vice President of Sales and including managing complex calendars, schedule requests, conflicts, agendas, itineraries, complex travel arrangements (e.g. international, multi-city travel) including air, hotel, and rental car.
- Manage detailed arrangements for meetings and events, including preparing agendas, validating attendee lists/notifications, taking notes, following up on action items.
- Process expense reports, including complex reports and reconciliation of corporate cards used for business purposes in a timely and accurate manner.
- Email management, including flagging essential messages for review.
- Work closely with the Vice President, Sales to keep them informed of upcoming commitments including proactively plan itineraries; anticipate and execute changes swiftly.
- Conduct research and compile data to prepare reports and presentations for the President.
- Prepare communications, presentations, reports, and other documents.
- Provide in-office support to executives, ranging from catering needs to AV assistance.
- Perform general office and clerical duties, such as answering phone calls, responding to emails, filing documents, organizing office supplies, stocking snacks.

AM I THE RIGHT FIT?
Not everyone can be an Executive Assistant. To be seriously considered for the role here is what you’ll bring:
Education/Licenses/Certification:
- Bachelor’s degree or an equivalent combination of education and experience preferred.
Experience:
- At least 5+ years of previous experience as an Executive Assistant supporting senior executives.
Alcohol industry preferred
- Proficient with Microsoft Office products including Word, Excel, PowerPoint, and Teams.
Skills/Traits
- Supporting the Vice President, Sales requires you to be responsive when needed, which could include evenings and/or weekends.
- Highly organized with the ability to reprioritize at a moment’s notice.
- Strong attention to detail and accuracy with an emphasis on quality.
- Demonstrated ability to maintain confidentiality and discretion of sensitive information.
- Outstanding written, verbal communication and interpersonal skills.
- Comfortable with ambiguity and ability to thrive in fast-paced structured and unstructured environments.
- Project management skills to coordinate projects.
- Prior experience with Concur preferred.
Physical Demands:
- Lift up to 50 pounds
- Walk, stand, climb, balance, reach with hands and arms, stoop, kneel, crouch or crawl on a daily basis

Our cash compensation amount for this role is targeted at $70,000 - $85,000 per year for Orlando or Miami, FL. Final offer amounts are determined by multiple factors including candidate experience and expertise and may vary from the amounts listed above.
