Additionally, this position will offer support to the sales team by handling client inquiries and assisting with takeoffs. What You Bring
- High school diploma or equivalent
- Minimum of 2 years of experience in an administrative support or office assistant role.
- Experience with payroll processing, particularly prevailing wage payroll, is highly preferred.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Detail-oriented with excellent organizational and multitasking abilities.
- Ability to work effectively in a team environment and handle sensitive information with discretion.
- Ability to manage time effectively and prioritize tasks.
Key Responsibilities:
Administrative Support
- Answer and direct incoming phone calls, providing exceptional customer service.
- Greet and assist guests, ensuring a welcoming and professional environment.
- Maintain office supplies and ensure all necessary materials are available for team members.
- Perform general clerical tasks, including data entry, filing, and document organization.
- Assist with scheduling meetings and managing calendars as needed.
- Provide backup support for the payroll process, specifically handling aspects of prevailing wage payroll.
- Ensure accuracy and timely processing of payroll data in compliance with relevant regulations and company policies.
- Assist in maintaining employee records and ensuring all payroll documentation is complete and up to date.
- Respond to payroll-related inquiries from employees and management.
- Assist the sales team by fielding client inquiries via phone and email, providing timely and accurate information.
- Help prepare materials and documents for client presentations and meetings.
- Support takeoff preparation for bids and proposals, working closely with the sales team to ensure accurate measurements and estimates.
- Assist with follow-up communication with clients to ensure a high level of customer service.
