We are seeking a highly organized, detail-oriented, and proactive Office Administrator to join our team in Independence, Ohio. This full-time role is essential to creating a positive office culture, supporting logistics, IT equipment management, office cleanliness and readiness, administrative support, and team-building initiatives.
This position requires strong multitasking skills, the ability to handle competing priorities, and resilience under pressure. The ideal candidate will thrive in a fast-paced environment and demonstrate the ability to collaborate across multiple departments while responding to ad-hoc requests efficiently.
Key Responsibilities
Teambuilding & Office Culture
- Promote a collaborative and engaging office environment by facilitating team lunches, organizing office events, and encouraging staff engagement.
- Work with leadership from other office locations to coordinate weekly themes, office holiday celebrations, and company-wide team-building activities.
- Assist in planning team-building initiatives and employee engagement activities.
- Manage FedEx/UPS logistics, including receiving and documenting shipments, lifting/moving boxes, and breaking down packaging materials for disposal.
- Oversee packing and shipping IT equipment for remote employees, maintaining accurate inventory.
- Contact new remote hires to confirm receipt of IT equipment, assist with initial setup and inventory, and escalate issues to IT support as needed.
- Maintain office supply inventory, including ordering, restocking, and sourcing furniture as needed.
- Assemble minor office furniture and coordinate with property superintendents for maintenance or repair needs.
- Conduct local errand runs (within a few miles of the office) to restock supplies or facilitate group lunch pickups.
- Oversee daily office operations, ensuring a clean, organized, and professional workspace that is always ready for customer visits.
- Proactively maintain cleanliness, including desktop and counter surface cleaning, kitchen upkeep, and enforcing workspace cleanliness among staff.
- Perform lightweight cleaning tasks between janitorial services, such as wiping down surfaces and maintaining common areas.
- Manage conference room scheduling, ensuring availability for meetings and events.
- Coordinate with outsourced janitorial services, addressing any facility-related issues as they arise.
- Handle USPS mail, including sorting, scanning, and organizing documents for finance and HR.
- Other duties as required.
- Arrange executive travel, including booking flights, hotels, and transportation, while ensuring itinerary accuracy.
- Handle ad-hoc administrative tasks for leadership and various departments.
- Serve as a facilitator for office staff, taking on one-off and occasional activities to support different functions.
- Proven experience in office administration, logistics, or operations, with a demonstrated ability to manage multiple responsibilities and shifting priorities.
- Strong organizational skills and attention to detail, with the ability to work independently while balancing competing demands.
- Ability to handle stress and adapt in a fast-paced environment, managing priorities and maintaining office efficiency.
- Comfortable handling basic IT equipment logistics (IT experience is a plus but not required).
- Experience in office supply procurement, minor furniture assembly, and facilities coordination.
- Strong communication skills, with the ability to engage professionally with employees at all levels.
- Must be able to lift up to 35 lbs and sit or stand for extended periods.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Valid driver’s license and reliable transportation for occasional local supply runs and lunch pickups.
- Full-time, in-office position, Monday–Friday, 8 AM – 5 PM.
- Occasional schedule flexibility may be required to accommodate executive travel needs or equipment deliveries.
