The Payroll Data Entry Specialist will be responsible for entering and maintaining payroll information for all employees at Cardiology Associates of Altoona L.L.P. This includes accurately inputting work hours, salaries, bonuses, and other compensation data into the payroll system. The ideal candidate will have strong attention to detail, organizational skills, and a clear understanding of payroll practices and data management.
Key Responsibilities
- Accurately enter and update employee payroll data, including hours worked, overtime, bonuses, deductions, and other compensation-related information into the payroll system.
- Verify timesheet information to ensure accuracy and resolve discrepancies in a timely manner.
- Assist with the preparation of payroll reports, ensuring data is complete and accurate before submission.
- Maintain employee records, including tax information, direct deposit details, and benefits deductions.
- Process payroll adjustments, including retroactive pay, wage garnishments, and other special payroll-related adjustments.
- Ensure compliance with applicable labor laws and regulations regarding payroll processing.
- Work closely with the HR department to ensure new hires, terminations, and employee status changes are reflected accurately in the payroll system.
- Respond to employee inquiries related to payroll, benefits, and tax with clarity and professionalism.
- Prepare and distribute pay stubs and related payroll documentation to employees as needed.
- Assist with the year-end payroll process, including the preparation of W-2 forms and other tax-related documents.
- Maintain confidentiality of sensitive employee payroll information in accordance with company policies and legal requirements.
- Perform regular audits of payroll data to identify and correct any inconsistencies.
- Stay current with payroll best practices, tax laws, and changes to regulations affecting payroll processing.
- High school diploma or equivalent; associate’s degree in accounting, business, or a related field preferred.
- Previous experience in payroll or accounting is preferred.
- Strong knowledge of payroll systems and Microsoft Office Suite (especially Excel).
- Familiarity with timekeeping software and electronic payroll systems.
- Basic understanding of payroll regulations and labor laws.
- High attention to detail and accuracy in data entry.
- Strong organizational skills and the ability to manage multiple tasks and deadlines effectively.
- Excellent communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to work independently.
- Experience with ADP, Paycor, or other payroll processing software is a plus.
- Ability to sit for extended periods and work at a desk.
- Occasional lifting of office supplies (up to 10 pounds).
- This position may require occasional overtime during peak payroll periods or year-end processing.
