The Fleet Manager will coordinate vehicle procurement, maintenance, tracking, and budgeting while working closely with leadership to support operational efficiency. Primary Duties & Responsibilities
Fleet Operations & Coordination:
- Manage the daily operations of the company's fleet, ensuring vehicle availability for employees.
- Assign vehicles to employees based on operational needs and ensure proper documentation of usage.
- Implement policies and procedures for efficient fleet usage and management.
- Schedule and oversee routine maintenance, repairs, and inspections to ensure vehicles remain in optimal condition.
- Maintain a preventative maintenance program to minimize downtime and extend vehicle lifespan.
- Ensure compliance with all local, state, and federal regulations regarding fleet operations, including safety and emissions requirements.
- Monitor fuel usage and implement cost-effective strategies to reduce fuel expenses.
- Track and analyze fleet-related expenses, including maintenance, insurance, fuel, and repairs, to optimize cost efficiency.
- Identify opportunities for cost savings and budget improvements.
- Utilize GPS and telematics systems to monitor vehicle locations, usage, and driver behavior.
- Maintain accurate records of vehicle assignments, mileage, incidents, and maintenance logs.
- Generate reports on fleet performance, cost analysis, and operational efficiency for management review.
- Recommend vehicle purchases or leases based on company needs and budget considerations.
- Oversee the acquisition of new vehicles and ensure they meet operational requirements.
- Manage vehicle disposal or resale processes to maximize returns on older or surplus vehicles.
- Ensure all drivers meet company requirements, including valid driver's licenses, clean driving records, and any necessary training.
- Provide training on vehicle handling, fuel efficiency, safety protocols, and defensive driving.
- Address any violations, accidents, or driver-related concerns and implement corrective actions.
- Develop and enforce policies regarding fleet safety, including GPS tracking, vehicle access, and theft prevention.
- Investigate and report vehicle accidents or damages, ensuring proper documentation and resolution.
- Work with the company's legal and insurance teams to manage claims and liability concerns.
- Serve as the primary point of contact for all fleet-related matters, coordinating with employees, management, and external vendors.
- Communicate effectively with drivers regarding schedules, maintenance, and operational updates.
- Maintain strong relationships with service providers, including mechanics, dealerships, and insurance companies.
Education & Experience:
- Bachelor's degree in Business Administration, Logistics, Transportation Management, or a related field preferred.
- Minimum of 3-5 years of experience in fleet management, vehicle maintenance, or logistics.
- Experience managing a small to mid-sized fleet, preferably in law enforcement, private security, or investigative services.
- Knowledge of fleet management software, GPS tracking, and telematics systems.
- Strong understanding of vehicle maintenance, fuel management, and safety regulations.
- Ability to analyze data and implement strategies for cost efficiency and operational improvement.
- Strong organizational and multitasking abilities.
- Excellent communication and leadership skills.
- Problem-solving mindset with attention to detail.
- Ability to work independently and make data-driven decisions.
- Valid driver's license with a clean driving record.
- Fleet management certification (e.g., NAFA Certified Automotive Fleet Manager) is a plus.
- Defensive driving or vehicle safety training is preferred.
- This position may require occasional travel to inspect vehicles, meet with vendors, or respond to fleet-related incidents.
- The Fleet Manager may need to be on-call for urgent fleet issues outside of standard working hours.
