Requirements
The Payroll/AP Clerk is primarily responsible for assisting with processing biweekly payroll for 300+ employees and accounts payable prep and entries. Other duties include helping our Chief Finance Officer manage the company budget and expenses as well as cooperating with different departments to increase payroll service performance and improve upon the payroll system.

This position will be hybrid to Northern California and will involve checking the EDMO post office box in Berkeley CA three times per week, sending out time sensitive mailings, and making check deposits at the bank in a timely manner.
Compensation
This is a full time, regular non-exempt position. The salary range is $32 - $37/hour and will be commensurate with experience and location.

Requirements
The Payroll/AP Clerk is primarily responsible for assisting with processing biweekly payroll for 300+ employees and accounts payable prep and entries. Other duties include helping our Chief Finance Officer manage the company budget and expenses as well as cooperating with different departments to increase payroll service performance and improve upon the payroll system.
Responsibilities Include
Payroll Clerk:
- Assisting the Payroll Specialist in all tasks related to payroll processing
- Obtaining substantiation and approvals needed for pay changes
- Reviewing timesheets for accuracy prior to payroll processing
- Acting as the backup payroll person as needed
- Preparing and mailing final paychecks as needed
- Supporting with other duties as assigned
- Entering monthly AP obtained from mail scans, accounting email, or vendor portals, allocating every expense as required
- Prepping month-end closing by allocating shared expenses
- Updating budget to actuals for programmatic reports on a monthly basis
- Preparing invoices to partners as needed with required backups
- Preparing timely reimbursements for new hires as needed
- Maintaining daily account reconciliations (checking account, savings account and credit cards)
- Reviewing and approving Ramp and Chase transactions
- Making bank runs and deposits
- Preparing and sending 1099 forms
- Obtaining W9 for all vendors prior to payment processing
- Supporting annual audits
Knowledge, Skills And Abilities
- A bachelor's degree in business or accounting preferred with minimum 1 years’ experience in nonprofit accounting and payroll
- Proficiency in GAAP
- Proficiency in QB Online, Paylocity, MS Office (Excel), Google Suite
- Strong spreadsheet function knowledge
- Proven experience running large payrolls (300+) in fast-paced environment
- Strong knowledge of tax and wage laws for CA
- Excellent understanding of common fiscal procedures
- Excellent verbal and written communication skills
- Strong customer service skills for internal staff questions and issues
- Exceptional multitasking and organizational skills
- Able to work effectively with minimal supervision
- Ability to maintain strict confidentiality with pay data and financial data
- Prolonged periods of sitting at a desk and working on a computer
- Run company errands as instructed by the CFO
- This position requires the ability to occasionally lift 25 pounds to a height of 3-4 feet
