The Document Control Coordinator will work closely with various departments and contractors to ensure that all documentation is accurate, up-to-date, and compliant with industry standards and regulations.
Essential Functions And Responsibilities
- Manage and oversee document control processes and systems for pipeline projects.
- Ensure all project documents are properly stored, managed, and accessible to include digital SharePoint files as well as hard binder copies.
- Work closely with project teams to maintain accurate documentation.
- Ensure compliance with industry standards and regulations.
- Implement and maintain effective document control procedures.
- Train staff on document control processes.
- Monitor and audit document control processes for adherence.
- Coordinate with external stakeholders for document exchange.
- Maintain a document control database.
- Generate reports on document control activities.
- Assist in the preparation of documentation for audits.
- Ensure timely distribution of documents to relevant parties.
- Manage document version control.
- Handle confidential and sensitive information with discretion.
- Resolve any issues related to document control.
- Support project teams with document management needs.
- Ensure proper archiving of documents.
- Develop and update document control policies and procedures.
- Provide administrative support as needed.
- Proven experience in document control or a similar role.
- Strong understanding of document control software.
- Excellent organizational skills.
- High level of attention to detail.
- Ability to work under pressure and meet deadlines.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Ability to handle confidential information with discretion.
