Position Summary

The Administrative Assistant provides executive, administrative, and development support to the Managing Attorney and their Attorneys and the Senior Leadership and HR. Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Managing Attorney. Serves as a liaison to the Pre-Suit Attorneys and senior management teams; organizes and coordinates day-to-day tasks and oversees special projects.

Essential Job Functions

  • Assists the Managing Attorney with daily administrative duties and completes a wide variety of administrative tasks, including managing an active calendar of appointments, completing reports, composing and preparing correspondence, arranging complex and detailed itineraries and agendas, and compiling documents for meetings.
  • Communicates with the general staff on the Managing Attorney’s behalf and coordinates logistics with high-level meetings both internally and externally.
  • Coordinates meetings and strategic activities with the Senior Leadership, Pre-Suit Attorneys, and other staff.
  • Conducts research to identify and evaluate current needs.
  • Drafts reports, demands, liens, civil remedy notice, and miscellaneous documents.
  • Participates and represents the Managing Attorney in designated meetings as required.
  • Assists in coordinating the agenda for Managing Attorney Weekly Review. Prepares spreadsheets for the meetings and designates and follows up on assigned action items.
  • Alerts Managing Attorney to staff issues and/or trends as warranted.
  • Assists Managing Attorney in discussing solutions both small & large facing the department.
  • Perform other related duties as assigned.

Experience/Requirements

  • Full-time, 8:00 am to 5:00 pm, M-F.
  • High school/GED diploma required.
  • 5 to 10 years providing support for upper-level management in a related organization.
  • Strong customer service skills.
  • Legal experience, including experience with clients, is a plus.
  • Proficient with Microsoft Office programs (Word, Excel, and Outlook).
  • Ability to manage a heavy workload in a fast-paced environment.
  • Ability to communicate with clients and co-workers effectively and efficiently.
  • Possess excellent organizational skills and the ability to multitask and prioritize workload.
