Description

This administrative position will provide office support to legal assistants and attorneys by assisting with dictation, opening files, closing files, scanning documents and other general administrative tasks. This position will also function as backup receptionist for the office.

Essential Job Functions

  • Scan and distribute mail
  • Assist with preparation for meetings, prepare/schedule conference rooms
  • Assist with Zoom conferences
  • Assist legal assistants with general office duties
  • Assist legal assistants with opening of files
  • Maintain operational knowledge of all office equipment
  • Close client files and dispose of obsolete files in accordance with the closed file policy
  • Assist with filing, labeling and inventorying files
  • Type memos, correspondence and other documents
  • Witness/notarize document signings
  • Assist with scanning of files for closure
  • Provide backup coverage for receptionist
  • Provide in office support for legal assistants working from home
  • Perform other job duties as assigned

Requirements

  • Must have a high school diploma or G.E.D. Associate’s degree is a plus but not mandatory
  • Must have at least two years of administrative experience, preferably in a professional services firm
  • Must be reliable, trustworthy, and able to maintain confidentiality
  • Must demonstrate basic computer skills
  • Must demonstrate effective organizational and time management skills, including the ability to manage competing priorities
  • Must have effective communication skills
  • Must be detail-oriented
  • Must be able to perform the essential functions of the job with or without reasonable accommodation
