Job Summary:

The part-time Administrative Support Specialist will provide comprehensive administrative support to client leadership. This includes keeping task statuses current, managing schedules, coordinating logistics, and ensuring that personnel are present and prepared for required locations and meetings.

Job Duties/Responsibilities (List not all inclusive):

  • Manage calendars, schedule meetings, and coordinate appointments
  • Coordinate logistics for meetings, events, and assist with travel planning as needed
  • Monitor routine tasks and maintain logs of open and closed items to ensure deliverables and deadlines are met
  • Prioritize daily activities based on the goals of the organization and its client(s)
  • Assist in client communication efforts, including preparing presentations and taking meeting minutes
  • Assist in organizing and maintaining client documentation to enhance departmental efficiency
  • Review and analyze administrative processes and procedures, providing recommendations for improvements
  • Performs other related duties as assigned by the Program Lead

Qualifications:

  • Excellent interpersonal skills
  • Outstanding time management and organizational skills
  • Exceptional communication skills (verbal and written)
  • Ability to schedule, organize, and manage tasks effectively
  • Highly proficient in using MS Office Suite (SharePoint, Word, Excel, Outlook, PowerPoint, and Visio)
  • Meets U.S. citizenship and work eligibility requirements for federal contractors
  • Must possess or be able to obtain a Department of Defense (DOD) Secret level clearance, if required

Education / Experience:

  • Bachelor’s Degree required (from an accredited college or university)
  • 3-5 years of relevant experience
  • DoD related experience preferred (may include military, civil service, or defense contracting)
