Your Role
The Programs Operations Specialist is expected to uphold and reinforce best practices in organizational administration, in the areas of general office management, supplies and technology inventory, facilities management, and operational support of both staff and programs. This position will establish, oversee, and develop the day-to-day operations of the organization, including developing strategies and systems with the Programs Operations Manager, and ensuring the consistent implementation of all policies and procedures.
This role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively. The Programs Operations Specialist will execute all the responsibilities outlined in the Program Operations Specialist role while providing elevated administrative capacity and strategic support to the Programs Operations Manager.
The Programs Operations Specialist reports to the Programs Operations Manager.

Duties and Responsibilities
Operations Support:
- Serve as the primary administrative support to the Program Operations Manager
- Manage the organization’s schedule, including coordinating meetings, appointments, and events
- Assist with drafting correspondence, reports, and presentations for internal and external stakeholders
- Organize and maintain sensitive and confidential information, ensuring discretion and professionalism
- Provide proactive support for projects, deadlines, and organizational goals
- Act as the front desk liaison for staff, leaders, and guests, maintaining professionalism while enforcing building access and security procedures
- Maintain filing systems for organizational documents and materials, ensuring both electronic and hard-copy systems are up to date
- Oversee all tasks related to supply and equipment orders, inventory management, and office organization
- Liaise with vendors, contractors, and facilities management teams to ensure smooth operations and resolve issues promptly
- Maintain and update organizational calendars, including tracking staff schedules, vacations, and key events
- Maintaining cleanliness and organization of the office area, following and enforcing procedures for maintaining cleanliness and organization of all office spaces
- Maintaining lists of vendors for commonly-purchased items such as food, transportation, and offsite venues, and updating as needed with contact information to reflect vendor relationships.
- Serve as the primary point of contact for security and facilities maintenance teams, addressing and resolving issues
- Oversee emergency response procedures and schedules, ensuring staff are informed and prepared
- Manage technology inventory, ensuring accurate records and proper maintenance for all equipment
- Develop and enforce procedures for equipment check-in/out and oversee technology turnover (disposal and procurement)
- Coordinate logistical needs such as food, transportation, and venue arrangements for organizational programming and activities
- Contact Leaders and/or alumni as assigned to follow up on items such as special invitations, technology distribution, etc
- Assist with event planning as assigned, including (but not limited to) staff luncheons and retreats, holiday parties, active Leader or alumni activities, etc
- Collaborate on onboarding activities for new staff, including workspace preparation and document processing
Some duties of the Programs Operations Specialist may be periodic and unexpected, but constitute general office and organizational support, including (but not limited to)
- Purchasing gifts or cards for events such as staff or board member loss and condolences; birthdays; new babies; etc
- Taking and distributing meeting minutes or notes as assigned
Experience and Skills
- Minimum of 3–5 years of experience in administrative support or office management
- Proven experience managing projects, logistics, and office operations
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite, Google Workspace, and other office management tools
- Ability to handle sensitive information with discretion and professionalism
- Strong problem-solving and multitasking abilities
- Bachelor’s degree preferred or equivalent experience in administration, operations, or a related field
