Pitch Labs, a 501(c)3 non-profit, works to inspire, educate, and mentor aspiring entrepreneurs to build their first business. Obtaining knowledge to be a successful business founder can be financially costly and energy draining. Our 100% volunteer run nonprofit works to provide free resources online in the form of an ‘how-to’ library, a community of entrepreneurs, and events. We hope to create a world where everyone feels empowered to innovate.

> What We Need

We are seeking an Executive Administrator who will provide high-level administrative support to the executive director. The ideal candidate will help be able to facilitate efficient operations and take on tasks that are important and time-sensitive. This role requires exceptional organizational skills, and a strong attention to detail.

> Qualifications

  • MUST be based in the United States and respond to messaging/emails within 24 hours
  • Write & speak professional/native level English language
  • Proven experience as an executive assistant or in a similar role.
  • Exceptional organizational and multitasking skills.
  • Proficiency in Google Suite (Docs, Spreadsheets, Presentations) and other relevant software.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Must be willing to learn new skills and topics.

>Responsibilities:

  • Prepare and organize materials for meetings, including agendas, presentations, and minutes.
  • Prepare documents and write ups for the executive director.
  • Act as a liaison between the executive director and internal/external stakeholders.
  • Manage and prioritize the executive director’s schedule, including appointments, meetings, and any other arrangements.
  • Assist with project management, including tracking deadlines and deliverables.
  • Conduct research and prepare reports as needed.
  • Coordinate special projects and events as required.
  • Perform general administrative tasks, such as managing correspondence and emails.
  • Handle confidential information with integrity and professionalism.

Time Commitment: at least 5 hours a week for at least 6 months.

  • Included in this time estimate: the weekly team 1-1 meeting, time for text/email communication, time spent working on a project. Volunteers can take on more tasks and spend more time if they desire.
  • We have a 24 hour message acknowledgement (thumbs up) and 48 hour message response policy to ensure smooth workflow for all of our team members.
  • Volunteers can take time off as needed for exams, work, family etc. We only request that such requests are communicated ASAP to allow teams to plan.

  • Although we are all volunteers, we work like a start-up, and seek individuals who are strong communicators and bring energy to the table.
  • As we train each volunteer heavily, we request that you do not apply if unless you are certain about your ability to commit to the organization.
