Job Title: Certification Specialist / Administrative Assistant
Location : 100% Remote -Only local to Las Vegas or Northern CA area…Bay Area Sacramento, Vacaville, Fairfield, Stockton, Modesto
Contract -W2
SUMMARY: Manage certification workflow and provide administrative support to the Senior Manager, Certification as needed. We may want this person to join the team in helping or represent the company at an external event where certification is a focus, and this individual could man a table and answer questions specific to certification.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Certification Support 80%
- Filing, application purging, mailings, tracking, and reminder emails and calls to MBEs approaching due dates and who are late in recertifying.
- Welcome MBEs by greeting them, in person or on the telephone.
- Provide trouble shooting assistance and one on one help to MBEs via email and phone.
- Maintain a safe, secure, and healthy work environment by following, and enforcing standards and procedures; complying with legal regulations.
- Maintain MBE's confidence and protect operations by keeping their information confidential.
- Perform routine data entry.
- Recertification Processing
- Manage primary certification and recertification queues, including intake, review, outreach, and completion of processes; updating trackers and conducting site visits.
- Assist Director of Certification with preparation of reports to executive leadership and Board of Directors.
NON-ESSENTIAL DUTIES:
MBE Input and Research 20%
- Perform data reporting, tracking, gathering, maintenance, and communication of information as directed.
- Create policy and procedure documents that explain how to perform website and database functions, in addition to other functions as needed.
- Ensure efficient data tracking and internal/external sites.
- Assist Executive team with contact directory updating and maintenance.
- Generate reports as needed.
- Standardize data management.
- Establish schedule for consistent updating of database, not limited to Certification, MBE, and Corporate Member contact data.
- Conduct Opportunity Searches utilizing extensive keyword searches and send email to relevant MBEs.
SKILLS/KNOWLEDGE AND ABILITIES:
- Exceptional analytical skills.
- Exceptional telephone demeanor
- Excellent organizational and time management skills.
- Ability to process and synthesize large amounts of data accurately and efficiently.
- Ability to be given an objective and, through self-direction, determine the steps necessary to accomplish the objective.
- Ability to implement, upgrade, and maintains systems within a fast-paced environment.
- Proven experience with application/systems, performance monitoring techniques, methods and metrics.
- Troubleshooting and problem-solving expertise.
- Ability to deploy and maintain database applications.
- Ability to communicate effectively and clearly with technical and non-technical team members and external providers.
- Advanced proficiency with Microsoft Office suite including Word, PowerPoint, and Excel.
- Advanced web research skills.
- Strong multitasking skills, with an emphasis on accuracy and timeliness,
- Detail oriented and highly organized.
EDUCATION and/or EXPERIENCE:
- Bachelor's degree or a related discipline, or equivalent.
LANGUAGE SKILLS:
- Ability to read and interpret documents
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of members or employees of the organization.
