Essential Functions
- Under direction, serves as a Timekeeping Representative for the Department of Innovation and Technology (DolT) administering master timekeeping functions for the agency.
- Performs highly responsible, complex, and confidential timekeeping functions for the Department.
- Provides assistance to agency employees, People Operations (PO) staff and others regarding timekeeping related inquiries, issues and available time.
- Establishes and maintains an extensive variety of timekeeping records, reports, and files including but not limited to accrued absence, overtime authorizations, potential abuse of time, adjustment forms/reports, and other required documentation.
- Assists in training new timekeeping staff on the Central Time and Attendance System (CTAS) and provides training on new coding, entry, use, and other actions.
- Assists Employee Onboarding Manager by preparing reports, correspondence, memorandums, charts, graphs, etc. for supervisory approval to address management and/or other stakeholder requests using Microsoft Office Suite.
- Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college.
- Requires one (1) year of professional experience, preferably in human resources.
- Requires one (1) year of experience performing timekeeping functions utilizing the Central Time and Attendance System (CTAS) and eTime.
- Requires one (1) year of experience with State of Illinois timekeeping functions.
- Requires one (1) year of experience utilizing and interpreting the State of Illinois, Personnel Rules, State of Illinois Pay Plan, and collective bargaining agreements including AFSCME and ProTech 916.
- Requires one (1) year of experience providing timekeeping training.
- One (1) year of experience utilizing the Central Time and Attendance System (CTAS), or similar timekeeping system.
- One (1) year of experience with State of Illinois timekeeping functions or similar timekeeping functions.
- One (1) year of experience utilizing the State of Illinois Personnel Rules, State of Illinois Pay Plan, and collective bargaining agreements including AFSCME and ProTech 916 or similar rules, plans and bargaining agreements.
- One (1) year of experience providing timekeeping training.
- One (1) year of experience analyzing, managing and verifying timekeepig records ensuring accuracy and compliance in systems like CTAS or similar platforms. .
- Demonstrated organizational skills with the ability to multi-task.
- Developed verbal and written communication skills to present information with accuracy.
- Ability to gain and maintain cooperative working relationships.
- Working knowledge Microsoft Office Word, Excel, Outlook, Teams and SharePoint to prepare timekeeping related reports, correspondence, memorandums, charts and graphs.
