Position Summary
The Corporate Affairs Coordinator will play a key role in supporting the Senior Vice President of Corporate Affairs by managing board and executive committee meetings, coordinating corporate events, and ensuring seamless internal and external communications. The ideal candidate is proactive, highly organized, and comfortable engaging with executives, board members, vendors, and community partners. This role requires an outgoing individual who thrives in a fast-paced environment, has strong communication skills, and is willing to make calls and facilitate outreach when necessary. Key Responsibilities
- Meeting & Calendar Management
- Schedule and coordinate board and executive committee meetings, ensuring accuracy and effectiveness.
- Prepare and distribute meeting materials, draft minutes, and follow up on action items.
- Maintain executives’ calendars and anticipate scheduling needs, including travel arrangements and conference registrations.
- Corporate Event & Vendor Coordination
- Plan and manage logistics for corporate events, including conferences and community engagement initiatives.
- Liaise with vendors, coordinate contracts, and ensure smooth event execution. Attend events as required.
- Oversee event-related communications and promotional efforts
- Manage marketing inventory, shipping and delivery of event materials to and from event venue.
- Communication & Correspondence
- Draft and edit correspondence, reports, and presentations.
- Respond to inquiries from internal and external parties, selecting the most appropriate communication method.
- Proactively engage with board members, executives, and community partners to facilitate effective collaboration.
- Administrative & Operational Support
- Maintain executive contact lists and corporate records using Salesforce and other systems.
- Ensure meeting spaces and technology are functional and troubleshoot issues as needed.
- Maintain list of CEO’s speaking engagements
- Community & Government Affairs Support
- Assist the VP of Government Affairs with outreach initiatives and community engagement events.
- Support Healthix’s mission by fostering relationships with community health organizations and stakeholders.
Experience & Skills:
- 2+ years of administrative support in a corporate environment.
- Strong event planning and vendor management experience.
- Exceptional organizational, time management, and communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint); experience with CRM systems (Salesforce preferred) and virtual meeting platforms a plus.
- Ability to work independently, manage multiple priorities, and maintain confidentiality.
- Ability to manage sensitive corporate information using discretion and confidentiality.
- Associate’s degree or equivalent experience required.
- Knowledge of healthcare and technology industries is a plus.
