POSITION DUTIES

This position serves as the Administrative Officer within the Office of Audits and is responsible for providing secretarial and administrative support to the Director of Audits, management level personnel, and office support staff in facilitating day-to-day operations, assuming responsibility for administrative matters deemed necessary by using a high degree of discretion and proper and appropriate judgement, organizing daily activities and keeping accurate and follow-up records.

Responsibilities Include

  • Maintains calendar, schedules appointments and travel arrangements for the Office Director and staff.
  • Independently receives, screens, and directs telephone calls for the Office.
  • Independently maintains, composes and types correspondence for the Office.
  • Gathers materials from varied sources to prepare and update technical, complex reports and records for Director and Audit staff.
  • Performs follow-up and monitoring of the MSDE Division’s Standard Operating Procedures.
  • Serves as the intermediary for the Director of Audits, maintaining frequent contact with local Superintendents, CPA firms and members of the Audit staff.
  • Coordinates approval of purchases/expenses, maintains Corporate Purchasing Card documentation and invoices.
  • Maintains files and database of audit reports.
  • Serves as Inventory Accountable Officer and Human Resources liaison.

Minimum Qualifications

Education : Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience : Two years of administrative staff or professional work.

Notes

  • Candidates may substitute 30 credit hours from an accredited college or university for one year of the required experience.
  • Candidates may substitute the possession of a Bachelor's degree from a college or university for the required experience.
  • Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.

Desired Or Preferred Qualifications

  • Experience with Microsoft Suite, Google Suite and/or Smartsheet.
  • Experience in preparing written correspondence.
  • Experience in processing financial records, expense reports and/or invoices.
  • Experience in preparing complex reports.
  • Experience with database files using word processing and spreadsheet software.
  • Experience in Office of Audits administrative functions.

Special Requirements
